Managing meetings and events using Outlook on the web for business
Yes. Dynamics 365 Field Service can sync bookings for work orders into Outlook automatically.
To set it up:
- In the Power Platform admin center, go to Manage > Environments and select the environment.
- Go to Settings > Email > Server profiles.
- Verify the Microsoft Exchange Online server profile is Active and the Authentication Type is Server-to-Server Authentication.
- Go to Settings > Email > Mailboxes.
- For each user mailbox that needs booking sync:
- Set Server Profile to Microsoft Exchange Online.
- Set Appointments, Contacts, and Tasks to Server-Side Synchronization.
- Select Approve Email.
- Select Test & Enable Mailbox.
- Save the mailbox.
- Refresh the mailbox list and confirm the mailbox shows a success status.
Requirements:
- A Dynamics 365 System Admin role.
- An Exchange admin role for the tenant, or the delegated mailbox approver role in Dynamics 365.
- The Exchange server and Field Service app must be in the same tenant.
Behavior and limits:
- Bookings created against a work order sync automatically to the worker’s Outlook mailbox.
- Synchronization is one-way from Dataverse/Field Service into Exchange/Outlook.
- Synchronization typically occurs within 15 minutes.
- If tasks, contacts, or appointments sync is already set up for a user, no other setup is required for Field Service bookings to start syncing.
- Only bookings tied to a work order synchronize.
- Users can sync with only one environment at a time.
- Bookings sync from one week in the past to two weeks in the future.
- Bookings scheduled more than two weeks in advance do not sync automatically when they later enter the two-week window. To force sync, update a field on the booking record within that two-week window, such as the time window or resource assignment.
If the goal is to avoid adding each booking manually, this server-side synchronization is the supported method.
