Setting up future meetings with participants using Teams calendar or Outlook integration
If the meeting invite is not being sent directly from Teams, the supported paths are:
- In Teams, open Calendar and create or open the meeting.
- Add attendees in Required attendees. For people outside the organization, enter the full email address.
- Select Send or Send update.
If direct email delivery from Teams still does not happen, use Outlook to schedule the Teams meeting instead:
- Open Outlook desktop or web.
- Go to Calendar > New event.
- Turn on the Teams meeting toggle.
- Add meeting details and invite attendees.
- Select Send.
This adds the Teams join details to the invite automatically after sending.
If Outlook does not show the Teams meeting option, the Teams Meeting Add-in requirements are:
- A valid Microsoft 365 subscription that includes Teams
- A Teams license assigned to the account
- Outlook 2013 or later for classic Outlook
- Windows for the add-in scenario
- The Teams desktop app installed on the same machine as Outlook
If the account is using a non-Microsoft email setup, a documented workaround in similar cases is to send the meeting link manually, or schedule from Outlook so the primary email service handles delivery.
