Managing meetings and events using Outlook on the web for business
In Outlook on the web, two different features can cause calendar items to appear or be handled automatically:
- Events from email
- Go to Settings > Calendar > Automatic processing.
- Under Events from email, select Don't add events to my calendar from email if unwanted items are being created from email.
- If needed, clear the individual event types that should not be added.
- Automatic meeting handling / auto-processing
- In Outlook, automatic processing settings control how meeting invitations, responses, and notifications are handled.
- If conflicting meetings are being auto-declined because of Copilot Calendar Instructions, check Settings > Copilot > Calendar instructions and remove or update instructions such as “Always decline meetings that conflict with existing meetings.”
- Microsoft notes that Outlook also has a separate built-in auto-decline conflicts setting. For consistent behavior, use either the built-in setting or Copilot instructions, not both.
If the issue is that a recurring invitation such as a no-meeting day plan is being added automatically, open the invitation and Decline it. If already joined, select Edit on the No-meeting day card, or End plan to stop it.
