Hi Sabrina,
You should be able to add participants either when creating the meeting or after it has already been scheduled.
To add attendees to an existing Teams meeting:
- Open Microsoft Teams and select Calendar.
- Open the meeting you created.
- Select Edit (or More options > Edit).
- In the Required attendees field, enter the participant's name or email address.
- If you're inviting someone outside your organization, enter their full email address.
- Select Send update so the new attendees receive the meeting invitation and join link.
If the meeting has already started, you can also select People from the meeting controls, search for the person you want to invite, and choose Request to join.
Regarding your question about connecting Teams with the rest of Microsoft 365, Teams normally integrates with Microsoft 365 automatically, so no separate connection is required. However, whether you can search your address book or find attendees depends on a few factors, such as the type of account you are using and how your Microsoft 365 environment is configured.
A few things worth checking are:
- Make sure Teams and Outlook are signed in with the same Microsoft 365 work or school account.
- Try searching for the person using their full email address rather than only their name.
- Sign in to Teams on the web and check whether you can add participants from there.
- Update Teams to the latest version and test again. You can follow the detailed instructions here: Update Microsoft Teams.
- If you're using a work or school account, your organization may have settings that affect directory searches and contact visibility. In that case, your Microsoft 365 administrator can verify whether your account has an Exchange mailbox and whether any address book policies are limiting search results.
As for your question about using an older version of Teams, it is possible that an outdated version could contribute to the behavior. However, in most cases, issues with finding participants are more commonly related to the account being used, mailbox configuration, or organizational settings rather than the Teams version itself.
For additional guidance, you can refer to: Invite people to a meeting in Microsoft Teams.
If you're still unable to add participants, could you let me know:
- Whether you're using Teams for Business or Teams Free.
- Whether the people you're trying to invite are inside or outside your organization.
- What happens when you enter their full email address in the attendee field (for example, no results appear, an error message is displayed, or the invitation cannot be sent).
That information will help narrow down the cause and suggest the most appropriate next steps.
Kind regards,
