Configuring preferences and options in Outlook on the web for business
Dear @Suzie Goodburn,
Good day! Welcome to Microsoft Q&A forum!
Based on your description, I understand that you would like to create 16 desks as bookable resources in Microsoft Bookings and understand that each desk should be configured as a resource (staff member). You're looking for guidance on how to create the required mail-enabled accounts and set them up correctly for booking. For desk bookings, each desk can typically be created as a resource mailbox (under Rooms & Equipment in Exchange Online), for example:
- Desk-01
- Desk-02
- ...
- Desk-16
You could try the following:
- Go to the Exchange Admin Center or Microsoft 365 Admin Center
- Create 16 resource mailboxes under Rooms & Equipment
Once created, the room/resource will have its own mailbox to store bookings and manage scheduling automatically.
It's worth noting that newly created room mailboxes may not appear immediately in Microsoft Teams or Microsoft Bookings. Directory and Exchange Online replication can take some time, ranging from a few minutes to several hours, and in some cases up to 24-48 hours before the resource is fully discoverable.
If you're unable to find the resource after creation, please verify:
- The room mailbox was created successfully
- The mailbox is not hidden from the Global Address List (GAL)
- Sufficient time has passed for directory replication
When you could see the resource room when you 'Add staff' in Microsoft Bookings, kindly:
- Add the resource mailboxes to your Microsoft Bookings calendar as bookable resources/staff
- Configure the booking policies and availability for each desk
Kindly let me know when there are updates or if you need further assistance. Any updates you’re able to share would be really helpful.
I appreciate your time and look forward to hearing how things are going!
Thank you for your time and patience.
