A group of Microsoft Products and technologies used for sharing and managing content, knowledge, and applications.
To share a PDF from SharePoint with people in another organization:
- In the SharePoint document library, select the PDF file and choose Share.
- In Link settings, choose Specific people if the link should work only for the external recipients named in the invitation.
- Enter the external recipients in the Name, group or email field.
- Choose their permission with the pencil icon:
- Can view for read-only access
- Can edit if edits are allowed
- Can't download if that option is available and download should be blocked
- Optionally add a message.
- Select Send.
Important points:
- With a work or school account, files can be shared with people either inside or outside the organization.
- If external recipients only need access to one file or folder, use Specific people rather than adding them to the whole site.
- If the external sharing options are missing or unavailable, external sharing may be restricted for the organization or the specific site.
- If invitations were sent through the legacy SharePoint Invitation Manager before June 2024, those invitations no longer grant access. The document must be reshared to generate a valid invitation.
If the goal is to share a whole site instead of just a PDF, a site owner can go to Settings > Site Permissions and use Invite people or Share site depending on the site type.
