Whether you can share a PDF from SharePoint with someone outside your organization depends on your organization's external sharing settings.
First, please try the following:
- Go to the PDF file in SharePoint and select Share.
- Select the Gear icon next to Copy link.
- Check whether you can see the People you choose option.
If you can see People you choose, your organization allows external sharing, and you can use that option to share the PDF with the external recipient.
-After selecting People you choose, choose the permission you want to grant:
- Can view
- Can edit
- Can't download
-Click Apply.
-Enter the external person's email address.
-Click Send.
If you cannot see that option, your organization may have restricted external sharing. In that case, please check with your SharePoint administrator to confirm the external sharing settings. If your organization does not allow direct external sharing, you can also ask your IT/SharePoint administrator whether they can add the external person to your organization's tenant as a guest user, if that is permitted by your organization's policies.
