Teams Webinars vs. Teams Webinars via Dynamics 365

My company currently uses Dynamics 365 and the Marketing App for event planning and communications. We appreciate the link to our CRM for reporting and attendance tracking, but we have a huge issue with folks not adding the registered events to their calendar. We've explored the Teams Webinar functionality straight from Teams, and that sends all registrants a calendar invite immediately - which is what we want to replicate.

This brings me to a few questions:

  1. If we move to creating Teams Webinars straight from the Teams app, is there a way this information can sync with our CRM in Dynamics?
  2. If we continue using the Event Planning Module in Dynamics, can we replicate this automatic calendar hold for attendees instead of using the calendar import button/link in communications?

Hi Hannah,

Thanks for clearly outlining the workflow you are trying to achieve.

Based on the documented Microsoft integration, the main difference is the direction of synchronization:

  1. Creating the webinar directly in Teams

If you create a Teams Webinar directly from the Teams app, there does not appear to be a documented native synchronization path that automatically sends the webinar registration and attendance data back into Dynamics 365 Customer Insights - Journeys.

If CRM-based registration, reporting, and attendance tracking are important, it would therefore be safer to continue managing the event through Customer Insights - Journeys.

Creating the webinar through Dynamics 365

When the webinar is created and managed through Customer Insights - Journeys, registrations can synchronize with the associated Teams webinar. However, the documented attendee calendar functionality does not appear to provide the same automatic calendar invitation experience as a webinar created directly in Teams.

The supported approach is to use Customer Insights - Journeys email communications with calendar/.ics functionality. This allows registrants to add the event to their calendars, although it is not exactly the same as automatically placing a calendar hold immediately after registration.

So, if your priority is CRM integration and attendance reporting, I would recommend keeping the webinar managed through Customer Insights - Journeys and using its calendar/.ics functionality for attendees.

If your priority is automatic calendar invitations immediately after Teams webinar registration, the native Teams webinar experience may be a better fit, but you would need to verify whether your organization can build the required Dynamics synchronization through Power Automate or another integration.

Useful Microsoft documentation:

Teams webinars v2 in Customer Insights - Journeys

I hope this helps clarify the trade-off between the two approaches.Hi Hannah,

Hello Hannah Peper,

Thank you for explaining your scenario in detail.

I reviewed the available Microsoft documentation, but I could not find official guidance confirming that webinars created directly in Teams can automatically synchronize registration and attendance information back to Dynamics 365, or that Customer Insights Journeys can automatically place an event on every registrant’s calendar without requiring them to use the calendar link.

Since your questions involve Dynamics 365 Customer Insights Journeys, CRM synchronization, event registration, and calendar automation, the Dynamics 365 Community would be the most appropriate place to continue this discussion: Find Answers | Microsoft Dynamics 365 Community

The specialists and experienced users there will have deeper knowledge of Customer Insights Journeys and can help determine whether your desired workflow is supported natively or requires additional configuration or automation.

You may also ask your IT administrator to open a support ticket through the Microsoft 365 Admin Center. A Microsoft Support engineer can review your organization’s current Teams and Dynamics 365 configuration and provide guidance based on the exact integration setup: Get support | Microsoft 365 admin | Microsoft Learn

Thank you for your understanding. I hope these resources connect you with the right specialists to evaluate the most suitable approach for your event workflow.

Kind regards,

    1. No supported sync path is described for webinars created directly in the Teams app to flow back into Dynamics 365 Customer Insights - Journeys CRM/event data. The documented integration is the other direction: create and manage the event in Customer Insights - Journeys, and it syncs to Teams. Teams calendar items are read-only, and changes made in Teams do not update Customer Insights - Journeys.
    2. No documented option is provided to automatically send attendees a Teams-style calendar invite immediately upon registration when the event is created from Customer Insights - Journeys. The documented attendee experience is:
      • registrations are synced from Customer Insights - Journeys to the Teams webinar
      • the attendee URL is created when the event is saved
      • registrants should be invited by email, not by sharing the attendee URL directly
      • calendar content in Customer Insights - Journeys affects only .ics files sent through the email designer

For the Dynamics-based approach, the closest supported method is to send invitation emails from Customer Insights - Journeys and use the calendar/.ics capability in those emails. That is the documented calendar mechanism for attendees.

    Related limitations and behaviors:

    • Webinars are the only Teams event type that support registrations.
    • Teams webinars in Customer Insights - Journeys rely on event registrations in Customer Insights - Journeys, and those registrations are regularly synced to the corresponding Teams webinar.
    • Producers and presenters get calendar integration, but that calendar item is read-only and is not controlled by the attendee calendar experience.
    • For on-premises mailboxes, calendar items cannot be created for the Teams webinar event organizer or speakers through this integration.

If CRM reporting and attendance tracking in Customer Insights - Journeys are required, the documented model is to keep the webinar authored and managed in Customer Insights - Journeys rather than in Teams.
