Configuring preferences and options in Outlook on the web for business
Yes. A shared subfolder often will not be visible unless the parent folder hierarchy is also shared.
What commonly prevents the folder from appearing:
- Only the subfolder was shared
Sharing does not automatically share subfolders, and for a subfolder to be accessible, the parent folder(s) must also be shared first. - The recipient has not added the shared folder or mailbox
In Outlook on the web, the invitee can add it manually:- In the folder pane, right-click Shared with me
- Select Add shared folder or mailbox
- Enter the name of the person who shared it
- Select Add
- Permissions are insufficient for the action they are trying to perform
What the colleague can do depends on the permission level that was granted. If only Viewer/read access was assigned, access is limited accordingly. - Private items expectation
If the missing content involves items marked Private, those items are not displayed in a shared mailbox in Outlook by design.
Recommended checks:
- Re-share the folder and confirm the colleague is listed under Sharing and permissions.
- If it is a subfolder, also share the parent folder(s).
- Have the colleague manually add the shared folder from Shared with me in Outlook on the web.
- If the issue is about missing private messages or requests, test in Outlook on the web because private items are not displayed in Outlook shared mailbox views by design.
