Configuring preferences and options in Outlook on the web for business

Based on the behavior you described, this is expected. When a mailbox folder is shared, it does not always appear automatically in the recipient's Outlook folder list. The recipient may need to manually add the shared mailbox or folder before it becomes visible.
First of all, please ask your colleague to follow these steps in Outlook on the web:
- In the folder pane, right-click Shared with me > Select Add shared folder or mailbox.
- Enter the name or email address of the person who shared the folder > Select Add.
- Expand the mailbox under Shared with me to view shared folders.
- For reference: Share and access another person's mailbox or folder in Outlook
Or you can go to Outlook settings > Account > Shared with me > and enter the name or email address of the person who shared the folder.
Important:
- If only a subfolder was shared, Outlook must also provide visibility to the folder hierarchy above it (for example: Mailbox > Inbox > Project Folder).
- If the parent folders do not already have permissions assigned, Outlook automatically grants the minimum required permission, Folder Visible, so the recipient can navigate to the shared folder.
- This permission only allows the user to see the folder structure and reach the shared folder; it does not grant access to view or interact with the contents of the parent folders.
However, if the issue persists, please try the following:
- Re-share the folder and confirm the colleague is listed under Sharing and permissions.
- Remove and re-add the shared folder under Shared with me.
- Sign out and back into Outlook on the web, then check whether the folder becomes visible.
