Access to Viva Insights Analyst Reports (Impact Explorer and Recurring Meeting Audit)

Hello Team,

I am exploring options to help a manager analyse collaboration and productivity patterns within her organisation and have been reviewing the following Viva Insights reports:

  • Impact Explorer Power BI Report
  • Recurring Meeting Audit Power BI Report

Based on the documentation, it appears that access to these reports may require the Insights Analyst role in Viva Insights.

Could you please clarify:

  1. Whether these reports are currently available within Microsoft.
  2. Whether the Insights Analyst role is required to access them.
  3. What the eligibility criteria and approval process are for obtaining the Insights Analyst role.
  4. Whether there are alternative reports or access paths available for users who do not hold this role.

For context, I currently build operational and organisational reporting to support leadership decision-making and would like to understand what is required to leverage Viva Insights for this type of analysis.

    Regard to availability of these reports 

    As far as I know, both the Impact Explorer and Recurring Meeting Audit Power BI reports are currently available as supported Viva Insights Power BI templates. They are designed to help organizations analyze collaboration patterns, meeting effectiveness, focus time opportunities, and potential productivity improvements. 

    Insights Analyst role requirement 

    Yes. According to Microsoft documentation, the Insights Analyst role is a prerequisite for both reports. Users must be assigned this role to access the analyst experience and run the associated Power BI templates.

    For eligibility and assignment process 

    Currently, the Insights Analyst role is assigned within your tenant by an authorized administrator, typically a Global Administrator or Privileged Role Administrator. As a best practice, I would recommend granting Insights Analyst access only to individuals who have experience working with organizational data and are familiar with applicable privacy and compliance requirements. 

    Any alternative options for users without the Insights Analyst role 

    Based on my research, users without the Insights Analyst role can still access certain Viva Insights experiences, depending on their assigned permissions and organizational configuration. For example, your managers may receive team-level insights, and leaders may have access to organizational dashboards. However, advanced analysis capabilities, custom queries, and Power BI templates such as Impact Explorer and Recurring Meeting Audit require the Insights Analyst role as I mentioned.
