Managing presence indicators such as Available, Busy, or Away to reflect user availability
If Outlook still shows an Out of Office (OOF) message, Microsoft Teams and other presence-aware apps can display a conflicting status (Available but with an OOF note). Turn off OOF in Outlook and make sure calendar-based presence sync is configured correctly.
- In Outlook, turn off Automatic Replies (OOF):
- Select File > Automatic Replies.
- Select Do not send automatic replies or select Turn off in the Automatic Replies panel.
- It can take up to 30 minutes for the OOF note to disappear from presence-aware clients.
- If Lync/Skype for Business or similar is still in use and synced with Outlook, verify presence sync settings:
- In the Lync main window, select Options > Personal.
- Make sure Update my presence based on my calendar information is selected if calendar-based presence is desired.
- If the OOF note should not appear at all, clear Display my Out of Office information to contacts in my Friends and Family, Workgroup, and Colleagues privacy relationships.
- Wait for replication:
- After turning off Automatic Replies, allow up to 30 minutes for the change to propagate to Teams and other clients. Then restart Teams and Outlook to force a refresh.
If the OOF note still appears after Outlook shows Automatic Replies as off and sufficient time has passed, the issue is likely server-side and should be escalated to the Microsoft 365/Exchange administrator to check mailbox auto-reply configuration.
