Linking accounts to one subscription

For better understanding your situation, could you please clarify that are all three computers used by one person, or are they used by different people?

If all three computers used by one person

You can sign in to all three computers using the same Microsoft 365 account (same email and password).

A single licensed user is allowed to install and use Microsoft 365 apps on multiple devices

This is fully supported and compliant with Microsoft licensing.

In case they are used by different people.

You should create separate user accounts (separate email addresses) in the Microsoft 365 admin center.

Assign one Business Standard license per user by following steps below:

Sign in to the Microsoft 365 admin center with global admin account ( if you are IT/admin of your organization)

Go to Users > Add user.

Enter the user’s information and choose Buy license and add user (or assign an existing available license).

All users are part of the same subscription, but each sign in with their own email and password.

This requires that your subscription includes enough licenses (3 licenses for 3 users).

A Microsoft 365 Business Standard subscription is a business (multi‑user) subscription. It is not required to use the same email and password on all three computers.

There are two supported ways to use one Business Standard subscription on multiple computers:

1. One user, multiple devices
   A single licensed user can install and use Microsoft 365 apps on multiple devices they own. In this case, the same account (same email and password) is used to sign in to Office on each device.
2. Multiple users under the same subscription
   If the subscription includes multiple licenses, additional users can be added to the same subscription, each with their own email address and password:
   1. In the Microsoft 365 admin center, create a separate user account for each person/computer that needs its own sign‑in (for example, ******@yourdomain.com, ******@yourdomain.com, etc.).
   2. Assign a Microsoft 365 Business Standard license to each user when adding them.
   3. Each user then signs in on their computer with their own email and password and installs the apps.

To add more users and assign licenses:

1. Sign in to the Microsoft 365 admin center with admin credentials.
2. Go to Users → Add user.
3. Enter the user’s information and choose Buy license and add user (or assign an existing available license).

This way, new email addresses can be created and linked to the same Business Standard subscription, as long as there are enough licenses for each user.
