To address your main question directly, Outlook does not currently support Gmail‑style labels where the Archive button dynamically moves messages to different folders based on a label or rule. In Outlook, the Archive action is designed to move messages to a single, fixed archive location (such as the Archive folder or Online Archive mailbox), rather than routing emails to different folders based on sender, category, or rule at the time you click Archive.
That said, I’d like to clarify what is possible today, as well as where the limitation exists.
In Outlook (including Outlook on the web for business):
- The Archive button always sends messages to the same archive location.
- Rules can automatically move messages to folders, but doing so removes them from the Inbox immediately, which differs from your requirement to keep messages unread and visible until you manually act.
- Categories are visual labels only and they do not control where an email is filed when you click Archive.
Because of this design, Outlook currently cannot replicate the Gmail behavior where:
- An email remains in the Inbox,
- A label is applied in advance, and
- Clicking Archive sends the message to the folder associated with that label.
While it’s not as streamlined as Gmail’s approach, the most practical alternatives are:
- Quick Steps (in Outlook for Windows):
You can create one‑click actions that move selected emails to specific folders (for example, a “Copilot” Quick Step). This allows fast filing without manually browsing folders, although it does require choosing a specific action instead of using Archive. - Manual move after review:
After reading an email, you can move it directly to the appropriate folder using keyboard shortcuts or drag‑and‑drop. This keeps messages in the Inbox until you decide to act, but it does require an explicit folder choice.
Unfortunately, there is no current setting, rule, or Copilot feature that allows the Archive button itself to behave differently based on sender, label, or category.
