Collaborative digital canvas used during meetings for drawing, writing, and brainstorming
In Teams meetings, everyone can only see and collaborate on the whiteboard if:
- They are in the same organization/tenant as the meeting organizer.
- They have been given access to that specific whiteboard.
Some of the students not seeing the whiteboard is usually caused by one of these:
- They are joining with a personal account or a different school account than the one your college provided.
- They are external/guest users from outside your organization (for example, different college, personal email). Current Whiteboard collaboration is limited to people in the same organization.
To improve this:
- Ask students to:
- Sign out of any personal Microsoft accounts in the browser.
- Join the Teams meeting using their official college account.
- Start and share the whiteboard from within the Teams meeting:
- In the meeting, share the Whiteboard so it becomes the meeting’s dedicated board. Each Teams meeting has its own whiteboard that participants can use together.
- If using the standalone Whiteboard app:
- Open the board.
- Select Share in the upper right.
- In Send link, enter each student’s college email address and share.
- If needed, adjust permissions (for example, Can edit vs Can view) using the Pen icon next to their name.
- Keep in mind:
- Collaboration is currently limited to people in the same organization. Guests outside your organization cannot collaborate on the same whiteboard yet.
If some students are still unable to see the whiteboard after using the correct college account, contact the school’s IT admin so they can verify Teams/Whiteboard settings for student accounts.
