Based on your description, I understand you’re having trouble with the automatic on/off behavior of Focus plan.
From my research and a quick test in my own environment
By design: If Focus plan is enabled, Viva Insights does not prompt again on Monday; it automatically adds Focus time for the next two weeks.
If Focus plan is not enabled, use the Briefing email or Viva Insights to book in two‑week batches, or enable Focus plan to fully automate it.
ou can try the following suggestions:
- Confirm the Focus plan status
- Open Viva Insights in Teams or on the web.
- Go to Protect time → in the Focus plan tile select Get started/Settings, and turn it on if it’s currently off.
Configure:
- Focus hours per day and the days of the week you want.
- Preferred time of day (morning/afternoon).
- *(Optional)*Work hours to sync working time with Outlook.
Once enabled, Viva automatically adds Focus time to your calendar for the next two weeks, silences notifications, and sets your Teams status to Focusing during those blocks.
2) If you want a quick two‑week setup without using Focus plan
Check your morning Briefing email in Outlook, find the “Book focus time” card, and click Book to add the suggested blocks. Note: This method doesn’t auto‑renew, so you’ll need to repeat it when needed.
3) If no new blocks appear even though Focus plan is on
- Work hours / time zone: In Viva Insights → Settings → Work week, make sure your working hours and time zone are correct so Viva can find open slots.
- Calendar conflicts: If a day is fully booked with meetings, Viva may shorten or skip that day. When possible, reschedule to create open 30–60 minute windows.
Sync: Make sure you’ve opened Teams/Viva Insights recently so changes sync.
4) If you need to limit Focus time to a specific date range
For example, only the next three weeks for a project:
Create a recurring appointment in Outlook labeled “Focus time,” or bulk‑book across the date range you want. This manual approach gives you precise control over start and end dates.
