Import and manage flowsheet templates

The Flowsheet manager in Dragon admin center enables you to import, review, and configure flowsheet templates from your electronic health record (EHR). Complete these tasks to enable flowsheet templates for ambient recording in Dragon Copilot (nurses).

Prerequisites

  • You created an environment and provisioned an instance of Dragon Copilot (nurses). You can only provision one instance per environment. For more information, see: Provision your Microsoft Dragon products.
  • You configured a connector, creating a link between your EHR instance and your Dragon Copilot embedded app. For more information, see: EHR management.
  • You need to be a Dragon administrator or Global administrator in your Microsoft 365 tenant.

Upload your flowsheet schema

To upload flowsheet templates to Dragon admin center, you must first export the flowsheet schema from your EHR as a JSON or ZIP file. Coordinate with your EHR administrator.

To upload the exported flowsheet schema:

  1. In the Dragon Copilot section of the navigation pane, select Nurses.
  2. Select your environment in the drop-down list at the top of the page.
  3. Select Flowsheet manager.
  4. Select Upload flowsheet schema.
  5. Browse for the .json or .zip file containing the exported flowsheet schema and select Upload.

Important

Don't leave the page while the upload is in progress. The time to upload depends on the size of the exported schema and your network speed.

Monitor flowsheet schema imports

After the upload has completed, the flowsheet schema is imported. This process can take some time. To monitor the progress of all imports that you started in the last 48 hours:

  1. In the Dragon Copilot section of the navigation pane, select Nurses.
  2. Select your environment in the drop-down list at the top of the page.
  3. Select Import history.
  4. View the list of imports started in the last 48 hours.

The Status column displays one of the following values:

  • In progress: The import is in progress.
  • Completed: The import is completed.
  • Error: An error occurred during the import; select View details for more information.

Select Refresh to reload the list of imports.

Review and configure flowsheet templates

View high-level information

After you've imported your flowsheet schema, review the available flowsheet templates:

  1. In the Dragon Copilot section of the navigation pane, select Nurses.
  2. Select your environment in the drop-down list at the top of the page.
  3. Select Flowsheet manager > Template view.

Note

If you don't see any flowsheet templates in the list, the import might still be in progress. Refresh the page.

The Template view tab shows high-level information on each flowsheet template in the list:

Template name The template name from the EHR.
Template ID The template ID from the EHR.
Record name The administrator-facing name for the template, used internally for configuration and management.
Template type The type of the template defining its purpose and usage context.
Service line The service lines associated with the template.
Role The user roles associated with the template as configured in your EHR.
Ambient status Indicates whether the flowsheet template is enabled for ambient recording.
Exported date The timestamp indicating when the flowsheet template was exported from the EHR.
Show all rows Indicates whether all flowsheet rows or only previously documented rows are displayed in the mobile EHR during recording.
Modified date The timestamp indicating when the flowsheet template was last updated.

Select Filter to choose which flowsheet templates to show in the list, then select Apply.

To search for a specific flowsheet template, enter the name in the Search flowsheet templates field.

View row-level details

On the Template view tab, select the name of a row to open View rows and view row-level details for each template.

ID Unique identifier of the row.
Group Parent group of the row in the template.
Row name Display name of the row.
Row type The type of row, such as Data or Custom Formula.
Synonyms Alternative names of the row.
Input options Possible values for the input type of the row.
Input type The underlying data type for the row.
Unit of measure The unit of measure for the data type, if applicable.

Configure metadata

After you've reviewed the flowsheet templates, add metadata to the flowsheet templates you want to enable for ambient recording.

- Its patients need more observation than Med Surg patients but don't meet step-down or ICU criteria.
- It uses the same type of flowsheet templates as the Med Surg unit, with an emphasis on telemetry workflow and continuous monitoring.
- It doesn't include invasive monitoring devices or specialty LDAs for patients with higher acuity.

Note

For the Med Surg and Telemetry service lines, Microsoft supports any flowsheet templates that are reviewable in a flowsheet grid, including admission and discharge templates. Templates not represented as flowsheets, such as education content, forms related to medication administration, or care plans, are not supported.

Flowsheet rows

Decide if the mobile EHR displays all configured flowsheet rows or only previously documented rows during recording:

  • Turn on the Show all flowsheet rows toggle to display all configured flowsheet rows, including rows without recorded values.
  • Turn off the Show all flowsheet rows toggle to display only previously documented rows. Rows without recorded values are hidden.

Configure metadata for one or more flowsheet templates

  1. On the Template view tab, select one or more flowsheet templates in the list, and select Edit.
  2. Select a template type, one or more roles, and one or more service lines.
  3. Turn the Show all flowsheet rows toggle on or off for the selected templates.
  4. Select Save changes.

Review template profiles

A template profile consists of service line and role combinations assigned to a flowsheet template. For example, the combination of service line Med Surg (Medical-Surgical) and role Registered Nurse (RN) makes a "Med Surg (Medical-Surgical)/Registered Nurse (RN)" template profile. When you assign this combination to a flowsheet template, it indicates that RN users in the Medical-Surgical unit have access to that flowsheet template in the EHR.

You can select multiple service lines and multiple roles for a template. The number of profiles is the product of these combinations. You can assign template profiles to more than one flowsheet template. For more information on assigning metadata, such as service lines and roles, see: Configure metadata.

The Profile view tab on the Flowsheet manager page allows you to review the current service line and role combinations across the imported templates.

Enable ambient recording

After you've added metadata to your flowsheet templates, update the flowsheet templates' ambient status to make them available for ambient recording in Dragon Copilot.

Prerequisites

  • Make sure you complete all necessary configuration steps in your EHR to fully integrate flowsheet templates enabled for ambient recording. For detailed instructions, refer to your EHR product documentation.

  • Make sure the metadata you've configured for your flowsheet templates supports ambient recording. For more information, see: Configure metadata.

Enable flowsheet templates for ambient recording

  1. On the Flowsheet manager page, select the Template view tab.
  2. Select one or more flowsheet templates in the list, and select Enable ambient. If you select flowsheet templates that don't meet the configuration requirements, the Enable ambient option is disabled.
  3. Follow the prompt on the screen to confirm your selection.

After you've enabled your flowsheet templates for ambient recording, continue and complete the configuration in the AI customization manager. Test your flowsheet templates in all common documentation scenarios and for all selected roles before you deploy them to a wider set of users.

Transfer metadata to other environments

To provide a stable, functioning environment to your users, set up multiple environments to facilitate testing before you deploy to production. To save time, transfer flowsheet template metadata from your test environments to your production environment.

Example: You created a test environment, provisioned Dragon Copilot (nurses), and added a test instance of your EHR. In this test environment, you uploaded your flowsheet schema, configured flowsheet template metadata, and validated the imported flowsheet templates by using the AI customization manager.

After you complete testing in the test environment, update the flowsheet templates in the EHR production instance as needed and upload them to your production environment. Transfer the metadata you added in the test environment to the production environment.

To transfer flowsheet template metadata from a source environment to one or more target environments:

  1. On the Flowsheet manager page, on the Template view tab, select the flowsheet templates whose metadata you want to copy.
  2. Select Transfer metadata.
  3. Select one or more environments. Make sure all selected flowsheet templates are available in the selected environments.
  4. Select Transfer.
