Calendar Meeting Requests not showing until Accepted/Denied.

Question

Thursday, November 10, 2011 11:11 PM

I am trying to solve an issue that doesn't make sense. I have users that are all using 2010 outlook and some users when sending meetings to others, cannot see the meeting invites in their calendar unless they open it and deny or accept it. The way we want to have it set is for all meeting invites to be put on the calendar without having to accept or deny them.  Why is it working on some and not others? I have look into the calendar settings but didn't not see anything that would solve the problem.

Hi,

Thank you for using Microsoft Office for IT Professionals Forums.

The process meeting request is controlled by the Sniffer for Outlook. When a meeting request arrives in your Inbox, Sniffer automatically adds the meeting to your calendar and marks it as tentative.

If you or a rule that you create moves an incoming meeting request from your Inbox before the Sniffer can process the request, the meeting never appears in your calendar.

In Exchange Server 2007, all meeting message processing for a regular mailbox is done by an Exchange assistant called Calendar Assistant which add meetings to your calendar as tentative meetings automatically.

Now please first run Outlook /cleansniff command on the problematic client, then check this issue.

If the issue persists, please edit the registry key to change the idle time for Sniffer.

Important This section, method, or task contains steps that tell you how to modify the registry. However, serious problems might occur if you modify the registry incorrectly. Therefore, make sure that you follow these steps carefully. For added protection, back up the registry before you modify it. Then, you can restore the registry if a problem occurs. Hello,

Based on my experience, there is an option in Exchange User and Resource Mailbox Properties > Calendar Settings tab > Mark new meeting requests as Tentative: If you select this check box, incoming meeting requests are marked as "Tentative" on the calendar. If you don't select this check box, pending requests are marked as "Free". This setting is enabled by default.

For more detailed steps how to configure this option for the user, please refer to: http://technet.microsoft.com/en-us/library/bb124255.aspx

I found there is another simple option which was stopping this from happening in my case. Please make sure the

following option is checked.

on the outlook - >File->Options->Mail-> Tracking -> Automatically Process meeting requests and responses to meeting requests and polls
