Outlook 2016 "Click here to view more on Microsoft Exchange" hyperlink is missing

Question

Thursday, February 25, 2016 10:08 PM | 2 votes

I've already been through the other TechNet articles on the topic and while helpful neither resolves the issue:

https://support.microsoft.com/en-us/kb/2898376

https://support.microsoft.com/en-us/kb/2733062

I have a live connection to our Exchange (O365 hosted in the cloud). When I view a folder (not in a shared mailbox) that has items older than the local cache stores I just get a message at the bottom that there are more messages on the server. The "Click here to view more on Microsoft Exchange" hyperlink never appears.

I can Search and find those items and if I go into the Folder tab and click View on Server it will display them.

Is the "Click here to view more on Microsoft Exchange" functionality gone for Outlook 2016? I am running 16.0.6568.2025 (Office 365 C2R flavor.) I am experiencing this with multiple users.

Thank you.

Hi,

In Outlook 2016, Microsoft has improved the reliability and performance of Outlook search by integrating the server-side search engine in Exchange 2016 and Office 365 (Exchange Online) and leveraging this search as the default Outlook search index.

By default, Outlook will search the entire mailbox and return search results beyond what is just synced down in the OST file. This means less user frustration when they cannot find older emails, and no more having to use the “Click here to view more on Microsoft Exchange” option to find mail on the server.

For more information about this changes in Outlook 2016, please refer to "New search behavior" part in the following article:

So the "Click here to view more on Microsoft Exchange" option while browsing in a folder is being removed?

I understand that Search and Folder > View on Server are available options to view items beyond the scope of the OST. I want to confirm that this is a functionality change and not an unexpected behavior so we can properly prepare our user base before we upgrade from 2013 to 2016.

After further review in our environment I have found it enabled in 16.0.6366.2062 and gone from 16.0.6568.2025 so it looks like it was not removed out of the gate.

Thank you.

I would be interested in an official answer to this as well.

I'm getting word this is a planned change, not a bug.

I actually have a customer (I'm a partner) that is having this issue as well. I can't confirm what Office 2016 update he has at the moment, but half the time the option isn't there. For this user, this is sporadic only for him as he has 5GBs of e-mail data with cache set for one year, and disabling cache makes Outlook extremely slow. For the people that are having issues, does the outlook client 2016 have 16.0.6568.2025?

I've been trying to resolve this for a week now, from those two KB articles, Ingram-Cloud support, and 365 phone support. No resolution yet.

The only solution I have right now is to revert back to the older update and prevent automatic updates. I have an open case with support on this so hopefully a newer update will fix this. Update from March 4th didn't work.

If you want to revert to an older version, do the following

Disable automatic updates in Outlook (File > Office Account > Disable Automatic Updates)

In Office 2016 only -- Open command prompt:

  • cd %programfiles%\Common Files\Microsoft Shared\ClickToRun
  • officec2rclient.exe /update user updatetoversion=16.0.6366.2062

This process was taken from this article: https://support.microsoft.com/en-us/kb/2770432

Hopefully this will get resolved soon before I hear more complaints from my customers

Our users also want this option back, the have cache mode on for 6 months, but when the want to search an e-mail that's older than 6 months they have to guess on hope they find it.

Hi folks,

I can confirm that the missing "Click here to view more on Microsoft Exchange" link when you are browsing folders (vs. searching) is a known issue and that the team is working on it.

We're planning to publish a KB later today, but in the meantime, here are the workarounds:

Method 1: Use Outlook on the Web (formerly known as Outlook Web App [OWA]) to view all items in the mailbox.

Method 2: Configure Outlook to keep all mail offline.

  1. In Outlook 2016, on the File tab, click Account Settings, and then click Account Settings.
  2. Select your Microsoft Exchange account, and then click Change.
  3. Set the Mail to keep offline setting to All.
  4. Click Next, click Finish, and then click Close.
  5. Exit Outlook and restart it.

Method 3: Switch to online view.

  1. In Outlook 2016, select the folder where you want to view the items.
  2. On the Folder tab, click View on Server.

Note If you switch to a different folder, you will need to perform these steps again.

Need to follow this.. will the KB be posted here? any idea on the progress?

Thursday, April 7, 2016 11:22 AM

Yes i would be very interested in finding out about any updates to resolve this please.

i have also seen that people who have full rights to other mailboxes and these are attached to their profile a similar message appears (only showing emails within the last 12 months) is it possible to be able to view on the server for those attached mailboxes?

Hi,

Has this KB been released? We hare having customers who are currently facing problems with the missing hyperlink to download headers from non-cached items.

Anneliese,

Is there an update yet? It's been 14 days since you posted the expectation that a KB would be released "today". My end-users rely on the ability to use the "View more on server" link to access aged email.

We installed the latest updates for Office 2016 we are now on version 16.0.6769.2017 and see the hyperlink sometimes appear again, sometimes not. It mostely shows: Connecting to server to show items (Verbinding maken met de server om de items weer te geven), so actually it's still useless :(

I talked an hour ago with Microsoft O365 support, the update has the status testing and will be released within a few weeks, probably around may 10th.

As described here: https://support.microsoft.com/en-us/kb/3154417 the problem should only occur when a click-to-run setup was used to install Office 2016, this is confirmed by Office365 support.

Yesterday Microsoft released new updates, technet.microsoft.com/.../mt465751

Under First Release for Deferred Channel version 16.0.6741.2037 this issue is described.

I updated Office (In Outlook, File, Offiice-account, Office-updates) to this version and can confirm the problem is solved.

The two mentioned KB articles are not up-to-date yet. I received an e-mail from my Microsoft support contact, she send me this article https://support.microsoft.com/en-us/kb/3115101

Does anybody know when this fix will be released for the Current Channel?

The First Release for Deferred Channel release notes that PK linked to above does include the fix.

Fix an issue where the link to view older mail messages on the server doesn't appear at the bottom of the list of messages in the folder, such as the Inbox or Deleted Items folder.

But I do not see the same fix listed under the Current Channel release notes.  We are having the issue in Outlook 2016 where the "Click here to view more on Microsoft Exchange" hyperlink disappears, and we are on the Current Channel version 16.0.6868.2062

Thanks

Josh

Nearly three months later, and still no KB article posted here.

AlexSun_MSFT also confirmed this is a know issue in this discussion.

PS This is affecting my Office 2013 installation (which is NOT click to run)

Wednesday, August 10, 2016 2:24 PM

We are running Office 2016 CTR  version 16.0.7070.2033 and the issue is still present.

Have also raised a premier call about this.

Wow, so it took Microsoft 3 months to "fix" the issue and it was not properly fixed?

I am currently at version 16.0.6366.2068 because they removed (without anybody asking) the feature to pin folder at the save as/open windows

I tried to went back to version 16.0.6366.2062 to see if the issue disappeared, but it didn't.

Friday, November 25, 2016 3:13 AM

none of these methods work for me. my sent items is completely empty but i have mails in sent item in OWA

Friday, September 1, 2017 4:09 PM

Method 3: Switch to online view.

  1. In Outlook 2016, select the folder where you want to view the items.
  2. On the Folder tab, click View on Server.

Note If you switch to a different folder, you will need to perform these steps again.

I don't even have the "View on Server" option.  I do see it in "customize Ribbon" but it's not showing up in my Ribbon.  I wanted to just have the Sent Items folder set to View on Server because I have CodeTwo Signature.  While the signature is updated on the server side, it's not synchronizing in my cached Outlook 2016.  Is that just not an option for us Office 365 users?

Friday, November 3, 2017 2:42 PM

Same issue here to. No link at the bottom of message list, and button on menu bar is disabled.

Any news about this issue?

We are running Outlook 2016 (latest updates) on Windows Server 2016 (latest updates) in an RDS environment.

Wednesday, November 8, 2017 1:44 PM

I'm still looking for a permanent fix but i did notice if you hit "work offline" and then hit it again to work online that the hyperlink will show up.  Not a permanent fix though.
