Hello,
I manage a support team and we use an email such as [email protected] to manage our cases and emails. Our IT team has advised they cannot(or do not want to) create a separate mailbox so instead we have to use this distribution list which contains 13 team members. The issue is, when a user is out of the office and puts their out of office on, anyone who emails the distribution list gets this message (including people who have no idea who the contact out of the office is). At the same time, the individual people must be able to put their out of office to go internal and external as sometimes clients email them directly and would need to know they are out.
Any thoughts or help on this?

Hi,
If you want to do this on Outlook client side, you can emulate this by using a rule so you can be fully in control of who gets your reply and who doesn’t. See:

What objection does your IT team have against making a separate shared support mailbox? That's the way we do it, and it's the best arrangement, not only because of the out of office messages, but mainly because it allows everyone to see what everyone else is doing. If the mailbox is really a nonstarter, a mail enabled Public Folder would do almost as well.

hi everyone-I'm working as IT-Support i have one user [email protected] she has set automatic replies on her outlook account but now she is back and disabled automatic replies but still other users are getting automatic replies when they send her email. anyone with a solution here.
