Add a set of default folders to Sharepoint Libraries.

Hey all,

I was quite surprised to discover I'm the first to come up with this but here we go.

We maken a document library for each project we do. Each project needs the same layout. So my simple question is, can I create a Library with a default folder structure?

The App store isn't much help, I was baffled that there are default Apps that save tweets to Excel files but creating a set of folders wasn't something implemented yet..

Anyway, could I get some pointers on this?

Hi Fr0ns.

A standard SharePoint library does not include any folder, as you know.
The simplest solution for your problem could be creating a document library that includes all the folders and subfolders you need and then saving this document library skeleton as a template from the document library settings, for this library type to be reused.

Hello Luigi,

Thank you for your response, I cannot find this option anywhere, are you sure you van still export Library Folders as templates? This seems to have worked with 2007 but not in 365's.

Hi Fr0ns,

Save a library as template also works on Office 365 SharePoint Online.

Go to the library that you have created folders based on your requirement, click Gear icon->Library settings->Save document library as template, then save it like the below:

After that, you can create a new library using the saved template via +New->App:

Hello Wendy,

Thanks for your reply! This might seem stupid but I can't find the button. My Sharepoint being Dutch doesn't help there either. Where should I look under the library settings? Sometimes the translations can be a little weird ;)

You can try to click the second hyperlink under "Permissions and Management"(the second section of my screenshot), it should be same place when using English and Dutch.

Thans for the reply Wendy, I do not have this option, not even as the site collection administrator nor the site creator. I seem to have a whole less options. What could cause this?

Edit: I have just double checked that both the owner an our admin account are added to the site owner group but this makes no difference.

Hi Fr0ns,

I am not familiar with Dutch. As you using SharePoint Online, you can switch the language of your site to English, then check it again.

If this issue still exists, please check if all libraries in the site have this issue. And also provide a screenshot about it.

Hey Fr0ns,

This may be too much work for you but I had a similar requirement, for a customised project site. We defined a bunch of default document libraries, and folders, as well as other things like a project information panel, and created a script to automatically create new Project sites using PNP Powershell.

Worth the effort if you do a lot of project sites. Sadly I can't share the scripts.

We might look into this, thanks. We kinda need them not to be dependant on us to make project folders but we'll keep it in mind! thanks!

Hi Fr0ns,

You can go to Library settings, then the page will be like:

http://SharePoint/_layouts/15/listedit.aspx?List=58d3d056…

Change listedit.aspx to savetmpl.aspx.  Press enter to load the page and you should be prompted to save the document library as a template.

Hello Wendy,

This keeps getting stranger and stranger, when using the solution above I get a "request access" screen, even as a site collection administrator and as the site owner. Who am I requesting access to exactly?

You can go to Site Settings->Site Permissions->Access Request Settings, check who received the request.

Also go to Site settings->Access requests and invitations, check the pending requests.

Hi Wendy, 

Thanks for your support on this question. I stumbled on this forum question as I was having the same issue as Fr0ns. Through some playing around i discovered that if I create a site through the SharePoint Admin Console, i get all the settings you see under the Document Library > library Settings page. If i create a site using the modern Team site method, I see a reduced number of options when I view the Document Library > Library settings page, which doesn't contain the "Save document library as template" option. Do you know what the difference is between the method in creating a team site? And how do I get all the settings options to show for sites created using the modern team site ?
