Can't send meeting responses - The email system had a problem processing this message.

I've seen some other posts related to this but haven't seen an exact match so hopefully someone has some ideas.  We use Exchange 2013 and Outlook 2016.  Not office 365.

I have a user who has problems when he tries to send a response to a meeting invite.  The steps that happen are as follows:

  1. User clicks on Accept | Send Response Now
  2. User then receives an error response in his inbox with the error below
  3. User checks his Outbox and finds the response message stuck in the Outbox
  4. User Opens up that stuck message and clicks Send and the response then sends correctly.

Error email contains:

Subject: Undeliverable: Accepted: Meeting Standup
Delivery has failed to these recipients or groups: [email protected]
The email system had a problem processing this message. It won't try to deliver this message again.
Remote Server returned '554 5.6.0 STOREDRV.Submit.Exception:TextConvertersException; Failed to process message due to a permanent exception with message data truncated

I had the user log into Webmail and do the same thing and that accepted just fine and sent the response with no problems.

Anyone have any ideas what might be causing this?  I'm going to have him log into Outlook from a loaner laptop but he's out of the office today so will have to try that next week.

So, we ended up testing this on a loaner laptop and did not have the problem which narrowed it down to his machine.  We decided to delete his Outlook profile and recreate it which seems to have resolved the issue.

I have no idea what was causing it but it went away with the new profile.  I'm sure he'll let us know if it comes back but hopefully that won't happen.

Hi,

Based on my research, this was a transient error that occurred at server level. The error is referring to a communication error that means that at the server level the content of the email couldn’t be read. 'Failed to process message due to a permanent exception with message data truncated' – this is referring to the fact that the information/data that arrived to the server level was truncated and this has led actually to the NDR being generated.

However, at Outlook client side, we can try the following method:

1. Install the latest update installed for both Outlook 2013 and Exchange server. I've noticed a similar issue fixed by latest updates.

2. Disable anti-virus software integration in Outlook. There used to have a same issue caused by the Eset Plugins in Outlook and Symantec DLP 10.5/11.1 Outlook Addin.

3. Start Outlook in safe mode to see the result.
