How can I share a Personal View to a small group of colleagues?

I have created a personal view in Sharepoint 2010. I wanted to share this personal view to a small group of colleagues, but not everyone. The admin page states that "Personal Views are intended for your use only. However, if given the correct URL, others may use, modify or delete your personal view." I have tried this but the user can not access the URL - they got error message like this "Cannot complete this action. Please try again."

Can anyone help to resolve this issue?

Personnal views are personnal, so you cannot share them.  B

ut you can create a new page, add the webpart for the list that you want to share to the new page, modify the view via the Web Part properties.  Then you can share the url of the page with you peers.  You can also manage the permissions (if you have rights to do this) on the page to allow only certain people to access the page.

Hi Helen,

I actually did not think this was possible as a personal view url contains a GUID which is related to the user who created the view.

But then I read this post

"To do this you can create another page or add a document library web part to an existing web part. Once it has been added you go to site actions > edit page. In the title of the web part select Edit > Modify Shared Web Part. Change the Selected View to the personal view you just created."

You may want to change the view that you use to display the list or library on a page. For example, you may want to show a view with fewer items that are the most relevant to your team’s work.

  1. From a page, in the ribbon, click the Page tab, and then click the Edit command.
  2. On the page, point to the list or library, click the down arrow, and then click Edit Web Part.
  3. In the properties for the list or library on the page, click the Selected View down arrow, select the desired view, and then click OK.

Hi Serge

Thank you for the sharing! I'm sorry that I mistakenly said it's 2010 - but it's actually SharePoint 2003 that we are using now, where I couldn't find any ribbon up there.

Could you help to instruct on the 2003 version for this issue?

  • On the page that you want to edit, click Edit Page in the Actions list.

  • In the shared view, click the arrow for the Web Part you want to modify, and then click Modify Shared Web Part.

    You can also click Modify Shared Page at the top of the page, point to Modify Shared Web Parts, and then click the Web Part you want to modify.
