Hypertext links in shared excel Workbooks - Office 2013/365

Hi all,

I would like to ask you whether you have experience with hypertext links in shared excel workbooks in new Office 2013 or 365.

1. In shared excel workbook (Office 2010), we are not able to create hypertext links to other workbooks. The buttom is gray and you cant click on it. As I found out, Microsoft doesnt support this function in shared Excel workbooks. So, my question is: Is there a change with new Office 2013 or 365 since they pay so much attention to online/cloud usage?

Just an explanation how do we work. We have one core workbook, where are all links to other workbooks. This core workbook must be shared, because many people work with it in the same time. But these people must be able to add new links to just new created workbooks. Simply something like Google docs, but in on-site version. We dont want to share our private documents on some Google/Microsoft drive.

2. In case this is not possible even with new Office, do you know about any other solution which could help us? Some shared table workbook with hyperlinks and working "offline" - Only in our LAN?

Hi Jirka,

I can confirm that in Office 2013, we still cannot insert or change hyperlinks in a shared workbook.

To workaround this, I think you can use the HYPERLINK function in the shared workbooks.

The syntax is: HYPERLINK(link_location, [friendly_name])

With this function, you can create links to a workbook, a specific cell on a worksheet, a workbook on a network server, etc.

Hi Jirka,

Office 2013 is the latest version of Office product. Microsoft Office 365 is actually a cloud-based service, with Office 365 subscriptions, you'll be able to install the latest desktop version of Office suite on your computer.

The answer is yes for your query, for both the desktop version of Excel 2013 and Cloud-based version of Excel Online (which is included in Office 365), we're not able to insert or change hyperlinks in a shared workbook.

Microsoft documentation states:-

"Note   Not all features are supported in a shared workbook. If you want to include any of the following features, you should add them before you save the workbook as a shared workbook: merged cells, conditional formats, data validation, charts, pictures, objects including drawing objects, hyperlinks, scenarios, outlines, subtotals, data tables, PivotTable reports, workbook and worksheet protection, and macros. You cannot make changes to these features after you share the workbook."

The above seems to suggest that if you create the hyperlinks you need to add them before you share the Workbook: this is the only documented way that I know of that might assist you.

Hi, thank you for your post, but it didnt help me much.

As I wrote above, I know that this feature doesnt work in shared mode for Office 2010. I read that too.

I asked, if it is the same in Office 2013 and 365? Does anyone have practical experience with this? Can anyone confirm from his/her experience, that Office 2013/365 doesnt support hyperlinks in shared workbook?

I didn't think it would help much but it seems that the only way you are going to get it to work is to insert the hyperlinks before the Workbook is shared. 

I wouldn't recommend using EXCEL for this:-

This core workbook must be shared, because many people work with it in the same time. 

If you want software that is designed to accommodate multi user access with full record locking facilities you need to use ACCESS instead.
