lost pinned files for office

Question

Monday, November 7, 2016 11:14 PM

Hi all.

Apparently IT upgraded Office from 2013 to 2016 over the weekend. I noticed it when I came in this morning, but didn't really pay any attention to it, beyond moving the pinned icons on my toolbar, and moving the toolbar back to the left side of the screen.

As I began settling into the morning's work, I began to notice that all my pinned files for office Excel and Word-- were gone.

I've since been trying to locate some discussion in dealing with this issue.

There appear to be quite a few. None of them have pleasant outcomes. Thus, I'm hoping that someone here knows how to deal with this.

I did read one article, on the MS Answers forum which says to get into the registry, and look for a specific sub-directory, and look for settings that'd restore the pin-links. I have found what they're describing, and have been going through the lists for the last hour or two. While I've found SOME of the files that I'd had pinned, the specific item shows them as not pinned according to the article.

http://answers.microsoft.com/en-us/msoffice/forum/msoffice_word-mso_windows8/where-are-pinned-documents-stored-in-office-2013/b10a9335-3f0e-4f24-aeb1-bb86a5183c67

The statement made,

Office 2013 stores it in "HKEY_CURRENT_USER\Software\Microsoft\Office\15.0\Word\User MRU". Each user for Office will have their own key, and under that key will be "File MRU". Each pinned file has values named "Item 1", "Item 2", etc. Office 2016 is same except under the 16.0 key of course.

Value looks like this: [F00000000][T01CFA783D052DEC0][O00000000]*C:\test1\test.docx

If the item is not pinned, the first section will be [F00000000]. If it is pinned it will start with [F00000001].

None of my files are [F00000001]

All of them are [F00000000]

I've changed a few of the items, which I specifically note as being once pinned items to the [F00000001], but they're still not on the pinned list.

addendum:

Edited the registry file as stated above, nothing appeared. So I shut everything down, and rebooted, hoping that'd help. Nope. Still the same. No pinned files.

Hi Steve,

>> What I'm noticing is that the newly pinned files in 2016, of the registry, are showing as the 02 ending.

By this, do you mean when you pin a file in your current Office 2016, the registry key of the pinned item turn to [F00000002] rather than [F00000001]? Would you please provide the detailed registry key path? I notice there are more than one similar keys containing File MRU in my environment, it would be great if you could share some relevant screenshots then we can help you better.

I pinned a workbook in my Excel 2016, the registry key of this item displayed as [F00000001]. I also tried changing the key value of another item to [F00000001], and the file was properly pinned to the Excel recent list.

As for your concern regarding [F00000002], I only find some information applied to Office 2007:

http://www.gmayor.com/clear_recently_used_file_list.htm

Please Note: Since the web site is not hosted by Microsoft, the link may change without notice. Microsoft does not guarantee the accuracy of this information.

Additionally, under /16.0 node, please try changing one item to [F00000001] and another item to [F00000002] to find which value is related to pinned files in your scenario.

Hi Steve,

>> I've changed a few of the items, which I specifically note as being once pinned items to the [F00000001], but they're still not on the pinned list.

Under which registry node did you change the pinned items? \15.0 or \16.0?
If you want to make changes to the pinned items in Office 2016, please make sure you were editing the \16.0 node. \15.0 corresponds to Office 2013.

In your scenario, please check if the corresponding values of your pinned items are under \15.0 node. If you can see the pinned items, it is recommended to try the following steps to import the File MRU registry key from \15.0 to \16.0 node and see if the issue could be fixed.

Important Follow the steps in this section carefully. Serious problems might occur if you modify the registry incorrectly. Before you modify it, back up the registry for restoration in case problems occur.
Please refer to this article about how to back up and restore the registry in Windows.

1. Press "Win + R", then type "regedit", press "Enter".
2. Locate the registry key to “HKEY_CURRENT_USER\Software\Microsoft\Office\15.0\Word\User MRU\XXXXXXXXXXXX…\File MRU”.
3. Right click on File MRU, click Export, then specify the save location and name the file “O15.reg”, click Save.
4. Locate the registry key to “HKEY_CURRENT_USER\Software\Microsoft\Office\16.0\Word\User MRU\XXXXXXXXXXXX…\File MRU”.
5. Right click on File MRU, click Export, then Specify the save location and name the file “O16.reg”, click Save.
6. Right click on the “O15.reg” file, click Open With > Notepad > OK. Do the same thing for “O16.reg” file.
7. In the “O16.reg” file notepad, copy the registry path like below:
[HKEY_CURRENT_USER\SOFTWARE\Microsoft\Office\16.0\Word\User MRU\ XXXXXXXXXXXX…File MRU]
8. Go to “O15.reg” file notepad and replace the similar registry path with the copied one from “O16.reg” file. Delete the similar text like it in red circle:

9. Click Ctrl + S to save the changes in the “O15. Reg” file. Close the “O15. Reg” file in notepad.
10. Double click the “O15.reg” file to import the registry key to \16.0\ path.
11. After importing successfully, open Word and check if you can see your recent documents history.

Please feel free to post back with any updates.

Hi Yuki.

Oh. I guess that would be the case, wouldn't it.....

I did edit 15.0.

I have since pinned a handful of files in Word. What I'm noticing is that the newly pinned files in 2016, of the registry, are showing as the 02 ending.

Eg.

[F00000002][xxxxxxxxxxxxxxxx][O00000000]*K:\xxxxxx\xxxxxx\xxxxxx\FORMS 3500 - 3599\FORM3515B.docx

In 2013, they appear as [F00000001] according to the article I'd linked.

Is there anymore reading about this that's available? I thought I saw something about the pinning of files, which noted the 02, but now I can't remember.

Thank you.

I know this thread is old but I wanted to post something that may help others in the future. We noticed this started happening after an upgrade to Office2016 (and pretty much every patch/update since). This info is related to those who use multiple monitors...

Most of our users have dual monitors and we were able to pick up on something quite strange. If they opened Office on their secondary monitor, they pinned files were gone BUT if they closed and opened Office from their primary monitor, the pinned files would reappear. I don't quite understand why but we've tested the theory on multiple users and it works every time. Something to look at if you have a similar situation

having the same issue with missing pinned files in Office 16.  Using multiple monitors.  Tried opening on each monitor and they are still missing.  This didn't fix it.

Now that you have your pins back.. add the following location to your backup schedule. It will save all your Office pins, and your Quick Access pins.. next time just restore the backup files. Also add it to user data migration location..

C:\Users\username%\AppData\Roaming\Microsoft\Windows\Recent\AutomaticDestinations

I had this issue recently with a user on the Office 365 version of Word.  All of the pinned files were missing.  I noticed that the user was not signed into Office.  We clicked the Sign in button, signed in and the pinned files were restored.
