Take control of a checked-out page (from someone who left the company)

Question

Tuesday, September 5, 2017 4:16 PM

Hi folks, I noticed a link for taking control of checked-out DOCUMENTS but no mention of checked-out pages. Is there a way to take control of a checked-out page without losing the person's changes/updates. Override Check Out would lose the changes as I recall.

Hi USP45,

I have done a test in my SharePoint 2013 and I can reproduce your scenario.

If I try to check in a page which is checked out by other user currently, I will get the message that "Do you want to override this check out now?"

Per my test, when I click ok, it will not lose any changes made to the page. So just click ok.

For those pages which have no checked in version:

Navigate to Library settings->Manage files which have no checked in version->choose the files check out to other users, Take Ownership of Selection. Then you can check in those document.

Hi,

Are you mentioning about the files, pages which has no checked in versions ( zero versions and has no published version) or the pages which is checked out to users but some versions published already?

If you are mentioning about which never checked in then navigate to Manage files which have no checked in version and take ownership of those files and then check in the files.

If you are mentioning about pages/files which are published (which has some versions already but not draft) then you can over ride the check out. Here are some references:

Keep in mind that web pages are just files in a document library.  If you notice a page that is checked out, go to its containing document library, and then perform the check in operation there.

Hi USP45,

From your description: "I noticed a link for taking control of checked-out DOCUMENTS."

Where is the link are you referring to? Could you offer a screenshot?

Are you want to take control of a checked-out page from Pages library or site Pages library?

Do not choose Discard check out, just choose check in.

Hi USP45,

In order to retain the content of the pages checked-out by other users, you should have site collection admin access/ Full control over that pages library.  If you have desired permission, simply select the page, check-in the page and your job will be done.

Note:

If suppose the page\document in a library is not even checked-in **once **by the user who left the organization, then you can make use of "Manage checked out files (MOSS)" or "Manage files which have no checked-in version(SharePoint 2010)" under Document library permissions to manage those files.

Refer to the below article,

hello,

technically pages are stored also in document library called Pages, so from this point of view they also may be considered as documents and you may get control over them in the same way. BTW if you don't want to loose changes other users made then (if you have AD admin rights of course) you may reset password of these users in AD, login under them and check in pages.

The screenies at that link appear to be for SharePoint 2007.

Pages library for Publishing Pages.

Yes, but eventually in the process we get back to the "Override?" prompt again. Which will lose all changes.

Yup, but then at some point in the process of checking in, you'll see the "Override?" prompt again, which will discard all the changes.

Yes, this looked promising at first glance! But the page in question has seen many revisions and has been published many times.

I agree, but alas I believe the "Take Control" thing was only around in SP2007, not in SP2010.

Logging in as the AD user sounds like a promising idea though.......

Sadly the user's AD account is already gone.
