Shared Calendar / Reminders

We have a shared calendar where all sharing parties can make inputs, changes, etc., all in addition to their own individual Outlook calendar.  We want to have the reminders / notifications show up for all the people that are on the share, but they are only popping up on the computer of the party that first created the item.  Is there a solution to make them pop up on all the computers that are sharing?

Hi,

Outlook only supports firing reminders in your own mailbox or default PST file. The reminder doesn’t work for shared calendar though the user has Owner permission of this calendar folder.

For a shared calendar, the reminder can’t be displayed. If you want to have a reminder for these sharing parties, please manually drag/copy these items from the shared Calendar to their own calendar as a workaround.

Additionally, if this shared calendar is owned by a shared mailbox in Exchange server. We can consider to give full access permission to shared mailbox and add this shared mailbox as second Exchange account in Outlook. Then these Calendar items in this shared mailbox will fire the reminders in Outlook.

Hello Mr. Liang,

I have the same problem and I tested your solution but doesn't work for me.

- I have full access to the sharedmailbox,

- I have Owner permission on sharedmailbox's calendar

..but if I create an event on shared calendar, reminders/notifications don't show up.

Is there anything else to do?

Hi Giulio,

Have you add this shared mailbox as second Exchange account in Outlook like I suggested above? For detailed steps about this, please refer to:

1.Click File > Account Settings in the Account Settings list.
2.In the Account Settings dialog box, in the E-mail tab, click New.
3.In Auto Account Setup dialog, fill in with the  shared mailbox Name and E-mail address, keep the Password blank, click Next.
4.If there is a window prompted for credentials to connect this shared mailbox, use your credentials (your User Name and your Password) for authentication.
5.Click Finish to complete the shared mailbox configuration.

Thank you Winnie, in this way works great.

This way to add shared mailbox is very useful because it allows to use also the address book of the shared mailbox when you need to selectthe recipient from a new email.

If the mailbox was automatically added to your profile as a shared mailbox, the administrator should remove automapping otherwise it will be buggy - rules and other features won't work.

jjm-jmp - it's not very elegant, but i just created a workable solution in my environment for this type of situation.  what i did was to open OWA for the shared calendar (whether you want to un-disable the AD account and login, or login as a user with full-access rights to the shared calendar and "open another mailbox" is up to you), go into the options for the account, and make a mail rule that looks for calendar invites and forwards them to a distribution list that includes all of the relevant people that need the notifications.  hope this helps,

Hi Winnie,

We have same issue, we converted mailbox into shared mailbox and added it as secondary account  but meetings reminders not working for all users, some users getting it some not, also overdue meeting reminders not coming for any one.
