How to Sync Custom Settings I have set up in Office 365 products (Outlook, Word and other Office products)

Question

I have Office 365 Home on 5 PC all using Windows 10. I set up extensive custom settings for Outlook , Word and other Office products. I have also set up over a hundred  entries in Auto-correct for hundreds of phrases and legal and medical terms.

How do I sync all my settings across all the PCs please. I would really appreciate help! Would be a life saver.

Many thanks

Hi,

>> I have also set up over a hundred  entries in Auto-correct for hundreds of phrases and legal and medical terms.

<< As Udara replied, AutoCorrect entries are stored in *.acl files by language. You may search "%appdata%\Microsoft\Office" and copy all files with extension of .acl in Office folder. Try to paste these *.acl files under the same location on other PCs.

>> I set up extensive custom settings for Outlook , Word and other Office products.

<< For Word, styles and hotkeys are stored in templates generally, so you may transfer your template to the other computers.

1. Please close all the files of Office and go to File explorer > View in Show/hide group > check the box of "Hidden Items".

2. Go to C:\Users\user name>\AppData\Roaming\Microsoft\Templates, then copy it to the same path on other PCs.

3. Go to C:\Users\user name>\Documents\Custom Office Templates, check whether there is any template file (*.dot, *.dotm), if yes copy it to the same path on other PCs.

<< Share a customized ribbon and Quick Access Toolbar of Office 365 (for all applications of Office 365) with other computers

1. Export your customized ribbon:

  • Open an application, go to File > Options > Customize the Ribbon
  • In the Customize the Ribbon window, click Import/Export.
  • Click Export all customizations.

2. Import the customized ribbon on your other computers.

Important: When you import a ribbon customization file, you lose all prior ribbon customizations. You may export it as a backup before importing any new customizations.

  • In the Customize the Ribbon window, click Import/Export.
  • Click Import customization file.

For Quick Access Toolbar, the similar procedure as above

This info may be helpful,

AutoCorrects are held, by language, in .acl files in individuals' user

profiles (%APPDATA%\Microsoft\Office\MSOnnnn.acl - nnnn = locale).

They are first created, when needed, from built-in language-specific files

in the Office Install Root/locale id folders (file MSO.ACL). There is

nothing you can do with GPOs (AFAIK) but you could create a custom master

acl file in your setup, which would be taken as a base for all users

Hi Emily

My apologies for the delay in getting back to you. It took me a bit of time to figure out the steps but yes, your solution works perfectly. I am not an IT specialist and was hesitant at first. However the steps that you took the trouble to explain were very helpful indeed. As of this moment I am not able to say definitively  that I got everything correct... will know as I use my various custom settings on each PC. I will confirm once I have had a week or 2 to check that everthing is indeed synced.

To anyone else following Emily's solution, needless to say, backing everything up first is important. I messed up when I first carried out the steps.

Keep well, and thank you, Emily

Best regards

Adam
