Most of the items in my Outlook 360 calendar prior to March 2026 have disappeared. How do I retrieve them?

    Hi Hu Fin,

I'm sorry to hear that your older calendar entries are no longer visible. If the appointments are not appearing before March 2026, one additional thing to check is whether you're viewing the correct calendar data source.

    Please try these quick checks:

1, Verify the account and calendar selected

    • In Outlook, expand My Calendars.
    • Ensure the expected calendar is checked and selected.
    • If you have multiple email accounts configured, switch between them and check whether the missing appointments appear under a different calendar.

2, Compare with Outlook on the web

    • Sign in to Outlook on the web using the same account.
    • Review the Calendar there and see whether the older events are present.
    • This can help determine whether the issue is limited to the Outlook desktop client or affects the mailbox itself.

3, Create a new Outlook profile

    • Close Outlook.
    • Open Control Panel > Mail > Show Profiles.
    • Create a new profile and add your account.
    • Open Outlook with the new profile and check the calendar again.

If the events are visible in Outlook on the web but not in the desktop application, the issue may be related to the local Outlook profile or cached data. If the events are missing everywhere, your email provider or administrator may be able to review mailbox retention or recovery options.

I hope one of these checks helps locate the missing calendar items. Let me know if you need further assistance, feel free to ask me by clicking "Add Comment" or "Add Answer" if you cannot add comment so your response will be visible. Thanks for your effort.

For classic Outlook on Windows, start with these checks in order:

    1. Check whether the items are hidden by a view filter.
      • Open the affected Calendar folder.
      • On the ribbon, select View > View Settings > Filter.
      • Review the filter tabs for anything that could hide older items, especially date-based filters.
      • Common filters that can hide items include Date received, Keywords, Read/Unread status, Sender/Recipient, Importance, and Size.
      • Clear any filter that would exclude items before March 2026.
    2. Search the calendar for missing appointments.
      • In Outlook on the web, open Calendar.
      • Use the Search box and enter a keyword or phrase from one of the missing events.
      • Press Enter.
      • Search checks fields such as Subject, Location, Body, Attachments, Organizer, and Attendees.
    3. Check the Deleted Items folder.
      • In Outlook, open Deleted Items.
      • Look for missing calendar items.
      • If found, move them back to Calendar.
    4. Recover items from the hidden Recoverable Items folder.
      • In classic Outlook, make sure Outlook is online and connected to the mail server.
      • Open Deleted Items.
      • On the Home tab, select Recover Deleted Items From Server.
      • Select the calendar items to restore, then select Restore Selected Items > OK.
      • If the original folder no longer exists, recovered calendar items are restored to the calendar.
    5. If Deleted Items is shown as Trash, or Recover Deleted Items From Server is not available, that account does not support recovery from beyond Deleted Items.
    6. If the missing items are not found in the recovery window, contact the system administrator.
