Sending, receiving, and organizing email in Outlook.com
If the account signs in but cannot send or receive mail, check these items in order:
- Check mailbox and cloud storage capacity. If Microsoft cloud storage or the mailbox is full, Outlook.com cannot send or receive email. Messages sent while storage was full can bounce back to the sender and are unrecoverable.
- Check whether the account is temporarily blocked due to unusual sign-in activity. Update the password if it was changed recently, then use the Sign-in Helper to unblock the account if needed.
- Check Outlook.com service status. If the service status is not green, wait until service returns to normal and try again.
- For sending problems, check the message itself:
- Look in Drafts or Outbox.
- Remove attachments larger than 25 MB.
- If using Outlook on PC or Mac with the Outlook.com account, go to Send/Receive > Send/Receive all folders.
- If a signature is added, remove it and try sending again.
- For receiving problems, check mailbox filtering and delivery settings:
- Check the Other tab.
- Check the Junk Email folder and Junk Email settings. If a valid message is there, right-click it and choose Mark as not junk.
- Restore message order with Filter > Sort > Date.
- Check whether email forwarding is enabled.
- Check whether any email rules are moving or hiding messages.
- If blocked senders are involved, note that blocking someone moves their messages to Junk Email rather than fully preventing delivery. If mail from a blocked sender still appears in the Inbox, the sender may be changing addresses or hiding the real address. In that case:
- Create an Inbox rule to catch common words and move those messages to Deleted Items.
- View internet message headers to identify the real sender address, then add that address to the blocked senders list.
- If one device is not syncing correctly, removing the partnership between the mobile device and the mailbox can often fix sync issues.
- If the account was recently compromised, also review Mail > Rules and Mail > Forwarding in Outlook on the web and remove anything unexpected, especially rules that delete, move, or forward incoming mail.
