How to allow people to see event names on a published calendar?

Hello,

I am trying to publish a calendar to a group of people without specifically sharing it to each persons email address. I want people to be able to click the link and view the events but not edit anything. When I searched around it says I should be able to pick what permissions people have before I publish the calendar. However, when I click the drop down menu the only option is "Can view when I am busy".

Am I doing something wrong here? It isn't feasible to add each person to the calendar individually. All of the intended audience should have an outlook account with the university, which is why I chose it to host the calendar. Nothing I have tried is working.

Based on what I know, you are probably not doing anything wrong on your side.

If “Can view when I’m busy” is the only publishing option available, the level of detail allowed for calendar publishing may be restricted by the Exchange Online sharing policy or other calendar-sharing settings applied to your mailbox. These settings are controlled by your organization, so you may not be able to enable event titles or additional details yourself from New Outlook.

Please contact your university’s Microsoft 365 or Exchange administrator and ask them to check the sharing policy and calendar publishing settings assigned to your mailbox. Specifically, ask them to verify whether calendar publishing with event titles and locations, or a higher level of detail, is permitted.

Microsoft provides the following documentation, which you and your administrator may find helpful for reference:

Please note that a published calendar can generally be viewed by anyone who obtains the link. If the calendar should be restricted to authorized university users, ask your IT administrator whether a Microsoft 365 Group calendar or another organization-managed shared calendar would be more appropriate.

After the administrator reviews or updates the applicable settings, try publishing the calendar again.
