Conversations involving multiple participants, allowing collaboration and information sharing in Teams
If the person is a guest or external participant and does not appear as available in the existing meeting chat, the access model matters:
- External access users can chat and join meetings, but they do not have access to teams, channels, or other Microsoft 365 resources.
- Guests can access teams, documents, resources, chats, and apps, but they must be added as a guest account and added to at least one team.
For a meeting chat:
- In Teams, open Chat.
- Open the meeting chat.
- Select View and add participants > Add people.
- Enter the person’s name, email, or tag.
- Choose how much chat history to share.
- Select Add.
Important limits:
- Only people in the organization can be added directly to an existing meeting chat.
- People outside the organization can’t be added to an existing meeting chat. If an external person is added, Teams prompts to create a new group chat instead.
- For channel meetings, chat is available only to channel members. To give access, add the person to the channel.
- If permanent access is needed after the meeting, another participant can forward the entire meeting series or add the person directly to the meeting chat when that is supported.
If the goal is to give an outside collaborator ongoing Teams collaboration access, use guest access rather than external access. Guest access creates a guest account in Microsoft Entra ID, and guests can participate in chats and collaboration features after being added to at least one team.
