Try a refresh first. Changing values in the source table does not automatically change what is shown in the PivotTable unless refresh occurs.

Select any cell in the PivotTable.
On the PivotTable tab, select Refresh All and choose Refresh.
- Or right-click the PivotTable and select Refresh.
If multiple PivotTables use the same source, use Refresh All to update all of them.

If the source data changes often, turn on automatic refresh:

Select the PivotTable.
Go to PivotTable Analyze > Auto Refresh to turn it on.
- Auto Refresh is on when the button has an outline.

Or:

Select the PivotTable.
Go to PivotTable Analyze > Options.
On the Data tab, check Automatically refresh when the data source changes.

Important:

Auto Refresh is set per data source, so changing it affects all PivotTables connected to that source.
If the source data was changed substantially with many new or additional fields, creating a new PivotTable may be easier than updating the existing one.
If the PivotTable still does not show expected records after refresh, check whether filters are hiding the updated data.

To help narrow down the issue:

Are you using Excel on a Windows PC, Mac, or Excel for the web?
When you right-click the PivotTable and select "Refresh," does the updated data appear?
Are you changing existing values in the source, or adding new rows to it?

In the meantime, PivotTables normally need to be refreshed after the source data changes. Try right-clicking inside the PivotTable and selecting "Refresh," or use "Data" > "Refresh All."

If you are adding new rows and they still do not appear after refreshing, the PivotTable may be using a fixed source range. Check "PivotTable Analyze" > "Change Data Source" and make sure the new rows are included. Using an Excel Table as the source can also help the range expand automatically.

Also check that no PivotTable filters are hiding the updated records.

Hello

Unfortunately, you will need to refresh the PivotTable manually.

However, Microsoft is working on an Auto Refresh feature, which is currently available to Microsoft 365 Insider users ONLY.

If you are interested in trying it, type Insider in the Search box at the top of Excel and follow the prompts to join the Insider program.

Keep in mind that Insider builds are preview versions, so they may be less stable and can contain bugs. You will want to weigh the benefits against those potential issues before opting in. Once joined, the feature may not be available right away but it should show up after some time.
