Using Outlook for iOS in business environments for email and scheduling
This usually happens after changing phones: the approval prompt may still be going to the old device, or the Authenticator registration on the new iPhone is no longer valid.
Try these steps in order:
- Check the old iPhone first If the old phone still has Microsoft Authenticator installed, open it and see whether the approval request appears there. Push notifications are often sent to the device where Authenticator was last used.
- Use another sign-in method if available On the sign-in screen, choose another verification option such as SMS, email, or I can’t use my Microsoft Authenticator app right now. If that works, use it to get back into the account.
- Make sure Authenticator can complete prompts on the new phone
- Unlock the Microsoft Authenticator app.
- Confirm notifications are enabled and not silent.
- Check that the iPhone has internet access; if needed, switch between Wi‑Fi and mobile data.
- Make sure date and time are set correctly.
- Update Microsoft Authenticator to the latest version.
- If the old device is still registered, remove and re-add Authenticator on the new phone After signing in with a backup method, go to the account security or security info page, remove the old Microsoft Authenticator method, then add Authenticator app again and scan the QR code on the new iPhone.
- If the phone was changed and the app was reinstalled, the registration may be broken Reinstalling or moving to a new device can leave the app without a valid MFA registration even if the account name appears in the app. In that case, the app will not generate codes or receive prompts until it is registered again.
- If this is a work or school account and no backup method works Ask the organization’s IT admin or helpdesk to clear or reset the MFA settings for the account. If the phone was lost or stolen, Microsoft recommends notifying the helpdesk so the settings can be cleared and re-registration can happen at the next sign-in.
- If the issue continues after that In Authenticator, open the top-level menu and select Send feedback to send logs for diagnostics, then contact the IT admin/helpdesk.
