I created the shift schedule using the shift app and sent it to the team staff via email, but I can't press the "Share with Team" button, so it's not being published to the team staff's calendars.

    Hi Davies Holly

If the"Share with team" button in Shifts is unavailable or cannot be selected, there are a few things to check:

    Verify your permissions

Only users with the appropriate scheduling permissions (typically a Team Owner or a manager with schedule management rights) can publish schedules in Shifts. The ability to create and share schedules is a manager capability in Shifts.

Confirm you're working in the correct team schedule

Each Teams team has its own Shifts schedule. Make sure the schedule is associated with the correct Team and that you are managing the schedule for that Team.

Check whether there are unpublished changes

Normally, Shifts displays "Share with team"** when there are draft changes waiting to be published. If the button is disabled, try making a small change to the schedule, save it, and check whether the button becomes available. Publishing is required before team members can see shifts in Shifts.

    Try Teams web app

Sign in to https://teams.cloud.microsoft and open Shifts there. Sometimes a client-side issue in the desktop app can prevent certain actions from working correctly.

Check whether Shifts is enabled by your organization

Your Teams administrator should verify that the Shifts app is allowed and not blocked by Teams app permission policies.

If the permissions and Shifts settings are configured correctly, to better understand your situation, could you please share the following information:

    • Is the "Share with team" button grayed out, or is it missing entirely?
    • Are you a Team Owner for the affected Team?
    • Does the issue occur in both the Teams desktop app and Teams web app?
    • Could you provide a screenshot of the Shifts schedule page showing the issue? (please hide your personal information)

Additionally, please note that sending the schedule by email does not publish it in Shifts. Team members will only receive and see the schedule in Shifts after it has been successfully shared/published using Share with team. I hope this helps and look forward to your response.

In Shifts, schedule changes stay in draft mode until they are shared. Team members cannot see the schedule until it is published by using Share with team.

    What is supported:

    1. Open the schedule in Shifts.
    2. In the upper-right corner, select Share with team*.
    3. In Share with your team, confirm the timeframe.
    4. Choose whether to notify affected team members and schedule group members, or choose Do not notify.
    5. Select Share.

    Important details:

    • Sending the schedule by email does not publish it in Shifts.
    • After any schedule change, it must be shared again for team members to see the updates.
    • To verify what team members can currently see, go to More options > View shared schedule.
    • Creating and sharing schedules is listed as a frontline manager capability in Shifts.

If the schedule was imported from Excel, the Shared column can be set to Shared or Not Shared. If it was imported as Not Shared, it must be shared afterward by using Share with team in Shifts.
