Dear Microsoft Support Team,

We are experiencing an issue with Business Central SaaS integrated with Microsoft Universal Print involving three users:

  • Person E
  • Person D
  • Person M

The printer was originally configured through Person E's Universal Print connection. To remove the dependency on Person E's workstation, the Universal Print Connector and Business Central printer configuration were also set up on Person D's and Person M's workstations.

However, automatic printing remains inconsistent:

  • Automatic printing does not work for Person D and Person M.
  • Manual printing from Business Central works correctly for both users.
  • Documents intended for Person D and Person M are only printed when Person E is logged in, suggesting that print jobs may still be dependent on Person E's Universal Print connection or printer registration.

As part of the troubleshooting process, Universal Print was completely removed and reinstalled on Person E's workstation.

In the Universal Print portal, the shared printer associated with Person E is configured so that only Person E has permission to print. Despite this, print jobs for Person D and Person M appear to be routed through Person E's Universal Print setup. We are experiencing an issue with Business Central SaaS integrated with Microsoft Universal Print involving three users:

    Welcome to Microsoft Q&A!

Thank you for sharing the details of your issue.

Based on the behavior described, this does not appear to be a Universal Print Connector issue on Person D's or Person M's workstations. Instead, the symptoms suggest that Business Central may still be associated with the Universal Print registration or authorization originally established through Person E's account.

    Key observations

    1. Manual printing works for Person D and Person M

    This indicates that:

    • The printer is reachable.
    • Universal Print is functioning correctly.
    • The printer itself and the connector installation are generally working as expected.

    2. Automatic printing only succeeds when Person E is signed in

This behavior suggests that the automatic printing workflow may still be using an authentication context, printer registration, or printer selection associated with Person E.

Business Central's Universal Print integration requires a signed-in user context to submit print jobs through Microsoft Graph and does not support service-to-service (S2S) authentication. Therefore, if the original printer configuration or authorization was established through Person E, Business Central may still be relying on that association for automatic print processing.

    3. Business Central printer assignments should be reviewed

Universal Print printers are managed through Printer Management and can be assigned through Printer Selections on a per-user, per-report, or default-printer basis. If an older configuration still references the printer added under Person E's authorization, automatic print jobs may continue to be routed through that configuration.

    Recommended checks

    1. Review Printer Management in Business Central

    • Verify whether the Universal Print printer was originally added by Person E and is still the printer object being used for automatic printing.
    • If so, consider removing the existing printer entry and re-adding the Universal Print printer using an administrative account intended for long-term management.

    2. Review Printer Selections

Check for printer selection entries configured for:

    • Specific users
    • Specific reports
    • Default printers for all users

Ensure that automatic print jobs for Person D and Person M are not referencing a printer configuration associated with Person E.

    3. Verify Universal Print sharing permissions

    • Confirm that the printer share is assigned directly to Person D and Person M, or to a security group that contains them.
    • Verify that the users have permission to print through the Universal Print share and are not inadvertently dependent on Person E's access. Universal Print uses user and group-based access control for shared printers.

    4. Reauthorize Universal Print in Business Central

    • Remove the affected Universal Print printer entries from Business Central.
    • Reconnect Business Central to Universal Print.
    • Add the printer again and update any printer selections as required.

This may help eliminate any cached authorization or printer mapping that still references Person E's original configuration.

Please notes that Universal Print uses Azure AD authentication and authorization for printer access and registration, reinforcing the importance of validating the user identity associated with the printer configuration.
