Controlling settings, permissions, and membership within Teams and channels
Hi @AmyRB,
Thank you for posting your question in the Microsoft Q&A forum.
Based on the current Microsoft Teams functionality, there is no built-in feature that allows you to send an email to all members of a Team or channel as individual email messages directly from Teams. Teams supports:
- Sending an email to a channel email address, which creates a post in that channel rather than sending individual emails to members.
- Teams notifications such as channel notifications, mentions, replies, and activity feed alerts.
If your goal is to send email messages to all members of a team while automatically reflecting membership changes, common alternatives include:
- Using a Microsoft 365 Group (if your Team is backed by one) and sending email to the group's mailbox.
- Using Power Automate or custom automation to retrieve Team membership and send emails.
- Creating and maintaining a distribution list or mail-enabled group.
At this time, Teams does not provide a native option to "email all channel members individually" or generate automatic email notifications to every channel member for a channel post. If this capability is important for your organization, the best way to ensure the Microsoft Teams product team is aware of this need is to submit feedback through the official Microsoft Feedback Portal. This is where Microsoft reviews customer suggestions and considers them for future product improvements.
How to submit your suggestion:
- Visit the Microsoft Feedback Portal.
- Navigate to Microsoft Teams · Community.
- Select Send feedback.
- Provide a clear description, for example:
"Please add a feature in Microsoft Teams that allows team owners or members to send individual email messages to all members of a Team or channel without maintaining a separate Outlook distribution list. The recipient list should automatically reflect Team or channel membership changes."
If you submit the idea, feel free to share the link here so other community members can review and support it.
As forum moderators, we do not have the ability to change product behavior or influence the product roadmap directly. However, I'm happy to help explain the current design and discuss any available workarounds.
Thank you again for taking the time to share your feedback. I understand how maintaining separate distribution lists can create additional administrative work, especially when team membership changes frequently, and I appreciate you bringing this scenario to our attention
