Microsoft Bookings Time Zone Issue

Hello!

I am currently working on implementing Microsoft Bookings for my organization, and we work with many individuals across different time zones.

As a test, I added a colleague as a staff member to a booking. She is located in British Columbia, while I am located in Ontario. Her business hours are set to 9:00 a.m. to 4:00 p.m. Pacific Time, which would be 12:00 p.m. to 7:00 p.m. Eastern Time.

However, when I booked a 9:00 a.m. appointment with her through the booking system, the meeting appeared in her calendar as 6:00 a.m., rather than within her expected working hours.

Is there a way to configure Microsoft Bookings to account for the staff member’s local availability, for example, recognizing that she is available from 9:00 a.m. to 4:00 p.m. Pacific Time / 12:00 p.m. to 7:00 p.m. Eastern Time — while still displaying available booking times in the booker’s own local time zone?

Our goal is to ensure that the person making the booking sees times in their own time zone, but that appointments can only be booked during the staff member’s actual working hours.

Thank you!

    Hi Monica,

Welcome to the Microsoft Q&A forum.

Based on your description, you would like the displayed time to be automatically converted to the attendee's local time zone when they book an appointment.

To achieve this, please follow the steps below:

    1. Configure the Booking Page

Step 1: Open the Booking Page.

Step 2: Select Region and Time Zone Settings.

Step 3: Uncheck the option Always show time slots in business time zone.

    1. Verify and Configure the Time Zone in Outlook

Bookings relies on the Outlook time zone settings. Therefore, please ask your staff member to verify that the correct time zone is configured in Outlook.

Step 1: Go to Settings > Calendar > View.

Step 2: Under Time zone, select Pacific Time.

After completing the steps above, when users open the booking link, the appointment times will be automatically converted to their local time zone. At the same time, your staff member will continue to receive bookings within their configured working hours.

Here is a screenshot showing the expected result:
