Managing and scheduling events and meetings using the calendar in Microsoft Teams Free
Teams and Outlook calendars only sync when the email account is properly connected to Microsoft 365/Exchange and integrated with Teams. Using the same email address alone is not enough.
Use these checks and steps:
- Confirm the email service and account type
- If the email address is from Microsoft 365 (work/school) or Outlook.com and backed by Exchange, mail, calendar, and contacts can sync across Outlook and other apps.
- If the account is configured as IMAP or POP anywhere, only email syncs; calendar will not sync.
- Make sure the calendar is on an Exchange/Outlook service
- Outlook sync basics: Exchange/Outlook.com accounts sync mail, contacts, calendar, tasks, and notes automatically; IMAP/POP accounts sync mail only.
- If the calendar in Outlook is tied to an IMAP/POP account, that calendar cannot sync to Teams.
- Connect business email properly to Teams
For a business scenario (Microsoft 365 work/school):- The tenant must be set up so that the business email domain is connected to Microsoft 365/Teams.
- When the business email is correctly integrated, users can:
- Sign in to Teams and Outlook with the same business email.
- Sync the Teams calendar with the calendar associated with that email.
- Ensure meetings created in Teams, Outlook, and Bookings are sent from the same email address and appear in one calendar.
yourcompany.onmicrosoft.comdomain while Outlook uses a different email provider, the calendars will not sync until the business email is connected to Microsoft 365/Teams as described in the integration guidance. - If using Google Workspace as primary email
- For organizations whose primary email is Google Workspace, bidirectional calendar syncing with Teams requires setting up calendar sync between Google Workspace and Microsoft Teams using the documented process.
- Without that setup, Teams and Outlook/Google calendars remain separate.
If, after confirming the account is Exchange-based and properly integrated, the calendars still do not sync, the tenant/global administrator should follow the “Integrating your business email with Microsoft Teams” guidance to connect the domain and email service to Teams so that Teams and Outlook share the same calendar backend.
