Microsoft 365 features that help users manage their subscriptions, account settings, and billing information.
Microsoft cannot directly review or terminate a school’s tenant or historical “Education Alliance” environment via forum or email requests. The organization’s own Microsoft 365/Microsoft Entra administrators must identify and clean up accounts, resources, and subscriptions in the tenant.
For an education environment, the recommended approach is:
- Identify the tenant and admin
- Sign in with an existing work or school account at a Microsoft 365 portal (for example, Outlook, Teams, or the Microsoft 365 admin center) to confirm which tenant is still active.
- If the current school IT team does not know who the global admins are, the organization must follow internal ownership/IT records to locate the original admin or the current delegated partner. Microsoft Support cannot disclose tenant ownership to non‑verified admins.
- Review user identities and access
- Use the guidance for academic environments to manage user identities and lifecycle. The “Academic year transition – user identities” documentation describes how to:
- Decide which accounts are still required.
- Identify inactive accounts (for example, staff who have left).
- Review and remove or block those accounts.
- For inactive or former staff accounts, follow the Microsoft Entra cleanup process:
- Decide what counts as inactive and what retention rules apply.
- Identify accounts to be removed (for example, using last sign‑in data and internal HR records).
- Review the list, then remove or block accounts.
- Remove or block staff accounts
- After confirming which staff should no longer have access:
- Delete or bulk delete their cloud accounts in Microsoft Entra ID or via the Microsoft 365 admin center, as described under “Removing accounts” in the academic guidance.
- If regulatory or compliance rules require retention, block sign‑in instead of deleting, using the documented PowerShell or portal methods.
- If there is on‑premises directory sync (Microsoft Entra Connect or third‑party sync), clean up the corresponding on‑premises accounts first so they are not recreated on the next sync.
- Review and terminate resources and services
- In the Microsoft 365 admin center and Microsoft Entra admin center, an admin should:
- Review active licenses and subscriptions and cancel those that are no longer needed.
- Review Microsoft 365 Groups, Teams, and SharePoint/OneDrive content and apply retention or deletion according to school policy.
- For graduating or former students, decide whether to convert them to alumni accounts or remove them entirely, following the “Graduating student accounts” guidance.
- Validate cleanup
- After removing or blocking accounts and adjusting subscriptions:
- Validate that the accounts are removed or blocked in Microsoft Entra ID.
- Confirm that any on‑premises sync is aligned so accounts are not recreated.
- Review audit and sign‑in reports to ensure no unexpected access remains.
- If the school no longer wants to use the tenant at all
- The organization’s verified global admin must:
- Remove or export any data that must be retained.
- Cancel all subscriptions and licenses.
- Remove or block all user accounts.
- Once no subscriptions remain and contractual/retention obligations are satisfied, the tenant will effectively be dormant; full tenant deletion and any contractual implications must be handled directly with Microsoft Support and the school’s licensing/partner channel, not via public forums.
If the current IT team does not have admin access but believes the school is the rightful owner, the next step is to contact Microsoft Support through the official education or commercial support channels as a verified representative of the institution and request assistance with tenant/admin verification and account lifecycle management.
