Finding messages, files, and users using search tools in Microsoft Teams Free
In Microsoft Teams Free, search relies on the service being able to find contacts and members in the tenant or contact list. When search fails to load users or returns no results, the following checks are relevant based on documented behavior.
- Verify that the correct account type is being used
- If signed in with a personal Microsoft account instead of a work or school account, Teams features and data (including people search) can appear missing or limited.
- Symptoms of being in the wrong account include missing work/school data and only seeing Activity, Community, Chat, and Calendar in the left rail.
- Ensure that the affected users are signed in with the intended work or school account, not a personal account. If necessary, add the work or school account from within Teams as described in the “Signed in to the wrong account in Microsoft Teams Free” guidance.
- Confirm how contacts are being searched in Teams Free
- In Microsoft Teams Free, people search is scoped to:
- Contacts already in Teams Free, and
- People found by phone number, email, or name.
- On desktop:
- Use the search box at the top of Teams and search by Phone, Email, or Name.
- Only people in the Teams Free contacts list are displayed when searching by name.
- On mobile:
- From the Chat tab, start a new chat and search in the To: field by Phone, Email, or Name.
- Check whether contacts are actually available and discoverable
- If contacts are not yet in Teams Free or not synced, they will not appear in search.
- If a user cannot be found:
- Invite that person to Microsoft Teams Free so they become a contact.
- Be aware that some Teams Free users may opt out of search; in that case, those users will not appear in search results and must instead search for and add others themselves.
- Use the general troubleshooting entry points for Teams Free
- For broad issues affecting multiple users (such as search failures across desktop and web), use the Teams Free troubleshooting resources and, if needed, escalate:
- Review the “Troubleshooting in Microsoft Teams Free” article for known issues and feature changes.
- If the problem persists for multiple users and is reproducible across devices and browsers, contact support or ask in the Microsoft Teams Community using the links provided in the Teams Free help articles.
Because the issue affects multiple users and both desktop and web, and basic client restarts and alternate systems have already been tried, the next concrete steps are:
- Confirm all affected users are signed in with the correct work/school vs personal account.
- Verify that the users being searched for are actually in Teams Free contacts and have not opted out of search.
- If these checks pass and the issue continues, use the “Contact us” or community options from the Teams Free support pages to report a potential service-side or regional issue.
