When you have a meeting series but want to dedicate one single meeting to only part of a team within the series does everyone on the series invite have access to a meeting they were excluded from? Example: I have a monthly call series with a client however, we want to dedicate one call for only internal company alignment team so we cancelled the invites from the client side. Can the excluded client view meeting information within a series of calls if they were excluded from one meeting and meeting was removed from their calendar?

Hi @Pierce, Julia,

I’d like to clarify how recurring Teams meetings work, as there are two key elements to keep in mind: the calendar invitations and the Teams meeting artifacts (such as the join link, chat, and recordings).

Firstly, if you remove a client from a specific occurrence in a recurring series and send the update, they should no longer see that particular meeting on their calendar. However, it’s important to note that all occurrences within a recurring Teams meeting typically share the same meeting ID and join link. As a result, if the client previously saved the link or received it from another occurrence, they may still be able to access it and reach the lobby, unless the meeting options are configured to restrict access.

In addition, for recurring meetings, the chat thread is continuous across all occurrences. Therefore, any messages shared during an internal-only session would remain visible within the same chat thread for participants who are part of the series.

With this in mind, the recommended approach for an internal-only alignment session is to create a separate, one-time Teams meeting with a new link and chat, limited to internal attendees. Alternatively, if you prefer to reuse the existing series, I would suggest adjusting the meeting options, specifically, setting “Who can bypass the lobby” to “People I invite” or “Only organizers and co-organizers.” This ensures that anyone not explicitly invited will remain in the lobby and can be denied access if needed.

I hope this helps clarify the situation and supports your next steps. Please feel free to reach out if you need any further assistance. I’d be happy to help.

I look forward to your reply.

For a recurring Teams meeting series, chat and meeting access depend on how someone is invited or removed.

    For recurring meetings:

    • The chat continues from one occurrence to the next for participants who remain in the series.
    • If a participant is removed from the recurring meeting series, that participant loses access to the meeting chat.

For someone invited only to a single occurrence in a series:

    • They can participate in the chat during that specific occurrence.
    • They do not see chat history from previous meetings in the series.

    Applied to the scenario:

    • If the client is fully removed from that specific occurrence (the meeting is removed from their calendar and they are not in the attendee list for that occurrence), they cannot join that occurrence and cannot see the chat for that occurrence.
    • If the client is removed from the entire recurring series, they lose access to the series chat altogether.

To keep one internal-only occurrence private while preserving the rest of the series with the client, the recommended approach is:

    • Forward or schedule a separate internal-only meeting (or forward only that single instance to internal attendees) so that external participants are never added to that occurrence. This ensures they have no access to that occurrence’s chat or content.
