Organizing, editing, and coordinating meetings and events within Microsoft Teams calendars
In the new Teams experience, attendees are managed from the Outlook meeting rather than directly on the Teams calendar surface. To reliably remove someone, edit the meeting in Outlook and remove the attendee there instead of using the X in the Teams calendar attendee list.
Use one of these supported methods:
- Classic Outlook (desktop)
- Open Outlook and go to Calendar.
- Double‑click the Teams meeting to open it. If it is recurring, choose whether to edit the series or a single occurrence.
- In the meeting window, remove the attendee either:
- From the To line (delete their name/address), or
- Via Scheduling Assistant → in All Attendees, clear the check box next to that person.
- Select Send to send the update. Choose to send the update to added/removed attendees only if prompted.
- New Outlook for Windows
- Open Calendar in the new Outlook.
- Double‑click the Teams meeting.
- In the attendee list, find the person to remove and select the X to the right of their name.
- Select Send to update the meeting.
- During an ongoing Teams meeting
If the meeting is currently in progress and the attendee is in the call:
- In the meeting window, select the Participants icon.
- Right‑click the attendee’s name.
- Select Remove. They are removed from the meeting but can rejoin if they still have the invitation.
If the Teams calendar UI is behaving incorrectly (e.g., clicking X jumps to other names), rely on Outlook to manage the attendee list, as that is the supported and stable path for adding/removing participants.
