Read only with outlook exchange

I use Outlook Exchange, and when I open an email, it is read-only. I can't do anything with it. I am also receiving an MS message saying I am using an unlicensed product. I have an MS license through my hosted email server, and I have a 365 License as well.

    Hi Keith Eades

The behavior you’re describing, emails opening in read‑only mode along with an “Unlicensed product” message is expected when Outlook desktop is not activated, even if the mailbox itself is working.

If Outlook detects only a mailbox license (for example, Exchange Online Plan 1/2 or a third‑party hosted Exchange account) but does not detect an active Microsoft 365 Apps license, Outlook will open but operate in read‑only mode.

That’s why you can see emails but can’t reply, edit, or create new items.

Check which account Outlook is activated with

In Outlook, go to File > Office Account

    Under Product Information, confirm:

    • Whether it shows “Unlicensed product”
    • Which email address is listed as Signed in as

Outlook must be signed in with the Microsoft 365 account that owns the Apps license, not just the mailbox account.

Confirm the correct license is assigned

Have the admin sign into the Microsoft 365 Admin Center: https://admin.microsoft.com

    • Go to Users > Active users > select the user
    • The user must be assigned a license that includes desktop apps, such as:
      • Microsoft 365 Business Standard
      • Microsoft 365 Business Premium
      • Microsoft 365 Apps for Business
      • Office 365 E3 / E5

(Licenses like Exchange Online Plan 1 or 2 alone do not activate Outlook)

Sign out and re‑sign in to Office

    • Open Outlook (or any Office app) > Go to File > Account > Sign out
    • Once Outlook successfully detects a valid Microsoft 365 Apps license: The “Unlicensed product” message will disappear > Emails will no longer open as read‑only > Full functionality (replying, editing, composing) will be restored

If the problem persists after all steps above, please share:

    • A screenshot of Outlook > File > Office Account
    • Confirmation of the assigned license SKU
    • Whether the mailbox is hosted by Microsoft or a third‑party provider

I hope this information is helpful to you. If you have any questions, please feel free to ask them in the comment section.

The behavior described matches two separate but related issues:

    1. Outlook is opening items as read‑only because the Office apps are not properly licensed.
    2. Outlook/Office is reporting “unlicensed product,” which means the account currently signed into Office does not have a qualifying license for the desktop apps.

The hosted Exchange mailbox license covers the mailbox on the server, but it does not automatically grant rights to install and use the desktop Office apps. For that, the Microsoft 365 subscription itself must include the Office desktop applications (for example, Microsoft 365 Personal, Family, or a business plan that includes the apps). A Microsoft 365 Basic subscription, for example, does not include the right to install Office on a computer; it only provides OneDrive storage and access to the web versions of Office apps. In that case, the desktop apps will run in read‑only or view‑only mode and show “unlicensed product.”

    To resolve this:

    1. Verify what Microsoft 365 product or license is actually assigned to the account that is signed into Office:
      • Sign in to the Microsoft account or Microsoft 365 account portal and check the subscription type and its expiry date.
      • Confirm that the subscription includes the right to install Office desktop apps, not just storage or web apps.
    2. If the subscription does not include desktop apps:
      • A different Microsoft 365 plan that includes Office apps is required. If this is a work or school account, contact the Microsoft 365 admin or IT staff to assign a plan that includes the Office apps.
    3. If the correct plan exists but is not assigned to the signed‑in user:
      • The Microsoft 365 admin must assign the appropriate license to the user account that is used to activate Office.

Once the account has a valid Office‑including license and Office is signed in with that account, the “unlicensed product” banner should disappear and Outlook will no longer be restricted to read‑only behavior for Exchange items.
