Hello team,

We would like to have viva engage send automatic notification whenever there is new post in community to a certain email group (limited community members only).
I know that we can have each member subscribe to the community to have notification on, but is there other ways to enable that?

    Hi @Silvia He - Network

Currently, Viva Engage does not include a built‑in option to automatically send notifications about new community posts to a specific email group or distribution list.

At this time, notifications are primarily managed at the individual user level. Each member can choose to follow a community and configure their own email notification preferences accordingly.

Since this is a user-to-user support forum. Moderators, contributors including external Microsoft employees cannot directly intervene in Microsoft product features. Our role is limited to providing technical guidance based on publicly available resources and experience.

For feature requests, the most effective avenue is to submit feedback through the official Microsoft feedback channels Microsoft Viva Engage · Community. This helps the product team assess customer demand and consider future improvements, such as group‑based email notifications.

Thank you for your patience and understanding.

Note: Please follow the steps in our documentation to enable e-mail notifications if you want to receive the related email notification for this thread.

Viva Engage does not provide a setting to automatically send every new community post to a specific email distribution group on behalf of the community. Email notifications are controlled per user, not per community or per email group.

Available options from the product behavior in the context:

    1. Ask members to configure their own email notifications
Each user can choose which email notifications to receive:
      • From Viva Engage home or storyline, select Settings in the header.
      • Select Notifications.
      • In Email notifications, turn on the options that apply (for example, digests or notifications for communities they follow).
This ensures those specific members receive emails when there is activity in communities they follow.
    2. Use digests for broader awareness
Premium Viva Engage users can receive daily or weekly digests that include trending content from communities. This is still user-based (each user opts in) and not targeted to a shared email group.
    3. Rely on announcements for guaranteed notifications
Community announcements generate notifications for all community members. For the All Company community, announcements always send email to all users regardless of individual notification settings. For other communities, email and mobile notifications are sent if users have enabled inbox notifications and have not already read the announcement.

There is no supported configuration in the provided documentation to bind a specific email distribution list to a Viva Engage community so that the list receives every new post automatically. The supported path is to have the intended members configure their personal Viva Engage notification settings and/or use announcements and digests.
