Connecting and synchronizing calendars across Microsoft Teams and other services like Outlook
To add Planner tasks to Outlook calendar on a basic plan, use one of these supported options and checks.
- Confirm the plan type and feature limits
- The Outlook calendar integration works only for basic plans and “Assigned to me” tasks in My Tasks.
- It does not work for premium plans, To Do lists, or other My Tasks lists.
- Add a basic plan to Outlook calendar (from the plan board) If the plan is basic and the menu is available:
- Open the Planner plan.
- At the top of the Planner board, select the chevron next to the plan name to open the plan menu.
- Choose Add plan to Outlook calendar.
- If this option is missing, the plan owner must enable the iCalendar feed first (see step 3).
- If the current user is a plan owner, select Publish, share with anyone to publish the plan to an iCalendar feed.
- Select Add to Outlook to open Outlook.
- In Outlook, on Subscribe from web, adjust Calendar name if needed and select Import.
- If “Add plan to Outlook calendar” is missing
- Only plan owners can publish the plan to an iCalendar feed.
- If the user is not an owner, ask a plan owner to:
- Open the plan.
- Use the chevron next to the plan name.
- Select Add plan to Outlook calendar.
- Choose Publish, share with anyone.
- Then select Add to Outlook and complete the subscription.
- If the owner still does not see Add plan to Outlook calendar, the feature may not be enabled for that plan; in that case, use the “Assigned to me” method below as a workaround.
- Add “Assigned to me” tasks to Outlook calendar This works even when using My Tasks instead of the plan menu:
- In Planner, open My Tasks.
- Select Assigned to me to show tasks assigned to the user.
- Select the three-dot menu (…) at the top of the view.
- Select Add "Assigned to me" tasks to Outlook calendar.
- Choose Publish, share with anyone to create the iCalendar feed.
- Select Add to Outlook.
- In Outlook, on Subscribe from web, change Calendar name if desired and select Import.
- View Planner tasks in Outlook
- In Outlook, under Other calendars, select the newly added Planner calendar.
- Select a task to see a quick view, then View event for more details.
- Use Open this task in Microsoft Planner to edit the task in Planner.
- Turn off calendar sync later (if needed) To stop sharing Planner tasks via iCalendar:
- Go back to the same Planner plan or Assigned to me view.
- Open the iCalendar feed settings again.
- Select Don't publish, keep private.
- This must be done per plan; repeat for each plan where sync should be disabled.
If the drop-down plan menu still does not appear even when the user is an owner and on a basic plan, use the My Tasks → Assigned to me → Add to Outlook calendar path as the supported alternative.
