Excel document not allowing rows to be deleted

I am using an Excel file to record about 400 articles or chapters for a literature review. Each reference has a dedicated row. I now need to delete rows which should not be taken forward to the next stage of the lit review. The document is shared with others but I am now working with it offline. When I follow the usual steps to delete a row, I get the error message: 'This won't work because it would move cells in a table on your worksheet'. How do I get around this?

The message indicates that the rows to be deleted intersect with an Excel table, and deleting them in the usual way would shift cells in that table. The rows must be deleted from within the table structure instead of as normal worksheet rows.

Use one of these approaches:

  1. Delete rows from inside the table
    1. Click any cell in the table (where the references are listed).
    2. Select the entire row(s) of the table that correspond to the references to remove (for example, by selecting the row number(s) on the left while the active cell is in the table).
    3. On the ribbon, use the table tools to delete:
      • Right‑click the selected row(s) and choose Delete > Table Rows, or
      • Use the Table Design (or Table Tools > Design) tab and choose Delete > Delete Table Rows.
    4. The table will resize and the rows will be removed without causing the error.
  2. Resize the table, then delete worksheet rows If some rows are outside the table but blocked by it:
    1. Select any cell in the table.
    2. Use Table Design > Resize Table.
    3. Adjust the range so the table no longer includes the rows you want to delete (for example, move the bottom edge up so the table ends above those rows), then select OK.
    4. Now select the worksheet row(s) you want to delete and press CTRL + - or right‑click and choose Delete.
  3. Remove the table (if a table is not needed) If the structured table features are not required:
    1. Click any cell in the table.
    2. On Table Design, choose Convert to range.
    3. Confirm the conversion.
    4. After conversion, delete rows normally.

If there are blank rows inside the table that need to be removed, they can also be filtered and deleted using the table’s filter dropdown and CTRL + -, as described in the table-resizing guidance.

Hello @Tim Rayner (TYN - Visitor),

    Thank you for your message.

To better understand what’s happening and identify the root cause, could you please help provide a bit more detail?

If possible, could you share a screenshot of the Excel file, especially the area where you are trying to delete the rows. This will help me confirm whether your data is currently inside an Excel table or a normal range.

In addition, could you please clarify:

    • Is the row you are trying to delete inside a table, or is it outside of the table?
    • What exact steps are you taking when deleting the row? For example, are you selecting the entire row, or only a few cells within that row before deleting?

As a quick test, could you also try selecting the entire row (by clicking the row number on the left) and then deleting it, and let me know if that works?

The more detail you can provide, the easier it will be for me to reproduce the scenario in my environment and guide you with the correct solution.

Please understand that our initial response does not always resolve the issue immediately. However, with your help and more detailed information, we can work together to find a solution.

Thank you for your time and cooperation, and I look forward to your update.

    Kind regards,
