How can I make sure that all related people get e-mail notifications for tasks in Planner?

Hello,

we have faced a bit of an issue with our Planner - people assigned to tasks within a plan do not recieve notifications about new comments.
Since the structure is: assigner creates task - receiver gets informed about the new task - assigner adds a comment - receiver has no idea a comment was added.

@reciever does not work

Unfortunately, I don´t trust the users to set everything up themselves correctly, so it is up to me to make this work seamlessly. The automatically created planner group gets all the e-mail notifications, so in theory, I - as an admin, group creator and plan owner - should be able to set rules for mail forwarding. However, that is for some reason not possible, since the + add new rule is grey and unclickable.

Is there any way I can ensure that related people are notified about new comments on their assigned tasks even before they leave a comment?

From what you described, I understand that you are using Microsoft Planner where: A task is created and assigned to a user

The assignee is notified about the new task. Later, when someone adds a comment to the task, the assignee does not receive any notification, when you use @mentions in Planner comments does not notify the assignee. You would like this to work automatically, without relying on users to change their own settings

This behavior is by design in Microsoft Planner: Planner sends notifications when a task is assigned. However, comments added to a task do not automatically notify assignees. @mentions are not supported in Planner comments (unlike Microsoft Teams chats). Users usually receive comment notifications only if they have already commented on the task, followed the task, or enabled specific personal notifications

Currently, there is no admin-level setting to force comment notifications for all assignees.

Additionally, Planner plans are backed by Microsoft 365 Groups, and group mailboxes do not support inbox rules or automatic mail forwarding. This is why the “Add new rule” option is disabled.

Therefore, I suggest some workaround may help:

1/ Use Power Automate (recommended)

  • Create a flow that detects task updates or new comments
  • Automatically send an email or Teams message to all task assignees
  • This provides centralized, admin‑controlled notifications

2/ Use Microsoft Teams for task discussions

  • Discuss task details in a Teams channel
  • @mentions work as expected and users are notified
  • Planner is used for task tracking, Teams for communication

3/ User awareness

  • Users need to comment on or follow tasks to receive updates
  • I understand this may not be ideal in your scenario, but it reflects the current product design
