Im currently Using Teams on my university account. im interested in using the teams premium ai features in meetings, but need to know where the Ai is processing the data. Is the ai running locally on my teams app/ my computer or in the cloud? also what kind of access does microsoft get to the data collected during the transcription preccess etc, in the collection phase as well as the output phase.

    Hello Wiarda, Jonathan Felix,

Welcome to Microsoft Q&A and Thanks for reaching out,

Where does the AI processing happen?

For Microsoft Teams** Premium AI features** (like transcription, intelligent recap, summaries, and translations):

    • AI does not run locally on your device or inside the Teams app
    • AI processing happens in Microsoft’s cloud

    What this means:

Your meeting audio/video is streamed securely over TLS

Data is processed by AI services hosted in Azure regions

    Processing occurs in:

    • Your tenant’s configured region, or
    • A defined Data Zone (depending on your organization setup)

So, all AI workloads are cloud-based, not device-based.

What data is processed and how?

    1. During the meeting

To enable AI features, Microsoft processes:

    • Audio (speech)
    • Spoken text (after speech-to-text conversion)
    • Metadata (timestamps, speaker labels, etc.)

This enables Live transcription, Real-time captions, Post-meeting summaries and insights

    Security during processing:

    • Data is encrypted in transit (TLS)
    • Data is encrypted at rest in Microsoft infrastructure
    • Processing happens in a secure, isolated environment
    1. After the meeting

The outputs generated by AI are stored within your organization’s Microsoft 365** environment**, including:

    • Transcripts → Teams chat / OneDrive / SharePoint
    • Meeting recordings → OneDrive / SharePoint
    • AI summaries & recaps → Teams meeting artifacts

    Access is strictly controlled by:

    • Your university’s IT/admin policies
    • User permissions and sharing settings

    How Microsoft uses your data

Microsoft follows strict enterprise privacy principles:

What Microsoft does with your data:

Uses meeting data only to provide the requested AI features

    • Transcription
    • Summarization
    • Translation

Keeps all data isolated within your tenant

    What Microsoft does NOT do:

    • Does NOT use your data to train AI models
    • Does NOT use your data for advertising
    • Does NOT share your data across customers or tenants

This applies to both Raw inputs (audio, text), Generated outputs (transcripts, summaries)

    Microsoft personnel access

Microsoft employees do not have routine access to your data.

Access is only possible in rare cases such as:

    • Troubleshooting issues
    • Critical support incidents

Even then Access is strictly controlled, Fully logged and audited, Limited to authorized personnel only

    Data location, control, and compliance

    Your organization retains control over:

    • Data residency / region
    • Data retention policies
    • Access permissions
    • Whether AI features are enabled or restricted

Microsoft supports major compliance standards, including:

    • GDPR
    • ISO certifications
    • HIPAA (where applicable)

    Important considerations

Since AI processing is cloud-based Your meeting data leaves your local device during processing

However, it remains Encrypted, Secure, Bound to your organization’s tenant

If your university has strict policies, They may disable or limit these AI features

AI features in Teams Premium run entirely in Azure cloud, not locally

Data is securely transmitted, processed, and stored

All data remains within your organization’s Microsoft 365 tenant

    Microsoft:

    • Uses data only to provide the feature
    • Does not train models on your data by default

Full control lies with your organization’s admin and compliance policies

For Teams meetings, different AI features process data in different ways.

    1. Core AI in meetings (audio/video enhancement, captions, live transcription)
    • For audio and video quality features such as:
      • echo cancellation
      • background noise suppression
      • speech enhancement
      • reverberation reduction
      • music detection
      • live captions and translated captions (when turned on)
    • Processing location:
      • Audio and video data are processed locally in the Teams client using AI and machine learning.
      • The audio and video data used for these enhancements never leave the call and are not stored.
    • Microsoft’s access to data:
      • Meeting audio and video used for these real‑time enhancements are not stored by Microsoft and are not used for training.
      • Microsoft uses only publicly available data, crowdsourced data, or employee data to develop these AI models, not customer meeting content.
    1. Intelligent recap in Teams Premium (AI notes, tasks, highlights)
    • Intelligent recap is a Teams Premium feature that uses AI to generate:
      • AI‑generated meeting notes
      • AI‑generated tasks
      • Personalized highlights and recap views
    • Required content:
      • Meeting transcription and recording must be enabled.
      • For meetings with recording and transcript enabled:
        • A copy of the transcript is stored in the meeting organizer’s Exchange Online mailbox.
        • Another copy is stored in OneDrive along with the meeting recording.
      • For meetings with only transcription enabled:
        • The transcript is stored in the organizer’s Exchange Online mailbox.
    • Processing and data residency:
      • Intelligent recap inherits the organization’s existing Teams security, compliance, and privacy policies.
      • Data in Teams (and thus data used by intelligent recap) resides in the geographic region associated with the Microsoft 365/Office 365 organization and supports multi‑geo where configured.
    • Use of GPT (Teams Premium intelligent recap only):
      • AI‑generated notes and AI‑generated tasks use a GPT model via Azure OpenAI Service.
      • Microsoft runs these GPT models as a dedicated internal service for Microsoft 365; customer data is not shared with non‑Microsoft parties, including OpenAI.
      • The GPT service runs within Microsoft 365 compliance boundaries.
    • Microsoft’s access and model training:
      • Customer data used by intelligent recap is not logged or used for AI model training or testing.
    1. Intelligent speakers and voice profiles (if used in rooms)
    • If intelligent speakers/voice recognition are enabled to identify in‑room participants in transcripts:
      • Users must explicitly enroll and opt in; consent is required.
      • Voice signature data is stored in the same region as the organization’s Teams data, within the organization’s tenant in the Microsoft Cloud, and may also be stored locally on the device for features like Voice Isolation.
      • Users can opt out at any time; unenrollment triggers deletion of that data.
      • Access to this data is tightly controlled and not shared with third parties.

    Summary:

    • Real‑time audio/video enhancement AI runs locally in the Teams client; audio/video for these features does not leave the call and is not stored.
    • Teams Premium intelligent recap uses stored meeting recordings and transcripts in Exchange Online and OneDrive, within the organization’s regional data residency and Microsoft 365 compliance boundaries.
    • Customer data used for intelligent recap is not used to train AI models and is not shared with non‑Microsoft parties; GPT processing is done via Azure OpenAI inside Microsoft’s compliant environment.
