Connecting and synchronizing calendars across Microsoft Teams and other services like Outlook
The behavior matches a known issue where meetings created by an organizer appear on attendees’ calendars but are missing from the organizer’s calendar when the organizer’s calendar is of type MAPI.
Since the meeting is not on the organizer’s calendar, it cannot be edited directly. Use this workaround to regain control so it can be cancelled or adjusted:
- Ask one of the attendees who has the meeting on their calendar to send the meeting back as an .ICS file for the entire series (if it is recurring):
- Either open the calendar item and use Forward as iCalendar/ICS and send it to the organizer, or
- Open the calendar item, use File → Save As, save it as an .ICS file, attach that file to an email, and send it to the organizer.
- The organizer saves the attached .ICS file locally on the computer where Outlook is used.
- Open the saved .ICS file in a text editor such as Notepad.
- In the file contents, locate the line
METHOD:REQUESTand change it toMETHOD:PUBLISH. - Save the modified .ICS file.
- Double‑click the modified .ICS file so it opens in Outlook.
- A Cancel (cancellation) button will now be available in the meeting window, allowing the organizer to send a cancellation to all attendees and regain control over the meeting.
Note: A service-side fix has been deployed (service build 15.20.7844.00) to prevent new meetings from going missing from organizers’ calendars. Meetings created before September 1, 2024 may still require the workaround above.
